Executive Assistant

• Provide high-quality calendar and diary management, ensuring efficient scheduling, prioritisation of meetings, and coordination across multiple time zones.
• Handle travel arrangements, both domestic and international, and handle related logistics such as itineraries and expenses
• Act as a key point of contact for the Marketing Org and Customer Experience (CX) Org, flagging priority items, and safeguarding time through proactive planning
• Coordinate and facilitate Marketing & CX rituals and attend Org/team meetings as needed, taking and circulating notes/actions, tracking follow-ups, and ensuring actions are completed
• Collaborate with your Execs & wider Depop teams to assist with preparing materials for presentations, team updates, PR/event briefings, and monthly reports as needed
• Support the coordination of internal ceremonies & socials for both the US & London based teams (including workshops, Quarterly Org All Hands, and cross-functional sessions) by handling invites, agendas, materials, and logistics
• Partner closely with the wider EA team to ensure aligned support across leadership, including occasional coverage for other Executives due to EA leave
• Remain flexible and proactive, chipping in wherever needed, understanding that responsibilities may evolve depending on business needs
• Act as the main point of contact and coordinator for visitors to the New York office and also NY/US team visits to London
• Partnering closely with the Internal Comms team, supervise the NY workplace experience, ensuring team events and activities are thoughtfully planned and delivered - and consistent with the London team experience
• Cultivate an engaging and dynamic environment & culture for NY office employees (including coordinating space bookings, and ensuring rooms are set up with the appropriate layout, signage, materials & refreshments in advance.)

Senior Executive Assistant

Manager

• Own and lead all workplace operations for London HQ, ensuring a consistently high standard across facilities, services, safety and day-to-day office performance.
• Set and maintain operational standards, processes and service levels across workplace, identifying opportunities to improve efficiency, scalability and employee experience.
• Line manage and develop the workplace and front-of-house team, setting clear priorities, driving accountability and building a high-performing function.
• Embed sustainable operations, driving initiatives that reduce environmental impact and circular, low-waste practices across the office
• Act as the primary escalation point for workplace issues, proactively identifying risks and resolving operational challenges with pace and sound judgement.
• Lead the planning and delivery of complex workplace projects and programs (e.g. office improvements, space planning, new initiatives, vendor transitions), ensuring clear scoping, timelines, stakeholder alignment and execution.
• Establish and embed strong project management practices across the workplace function, including prioritisation, cost analysis, tracking, reporting and post-project evaluation.
• Partner with senior stakeholders to translate business needs into clear workplace plans, balancing short-term delivery with longer-term strategy.
• Own relationships with key vendors and service providers (facilities, cleaning, security, catering, maintenance), ensuring strong performance, accountability and value for cost.
• Oversee contract management, service reviews and vendor performance metrics, driving continuous improvement and resolving issues effectively.
• Partner with building management and external providers to maintain a safe, compliant and well-functioning workplace environment.
• Design and deliver workplace programs and experiences that are operationally robust, scalable and aligned to Depop’s culture and business priorities.
• Oversee logistics and delivery of key in-office moments & company events (e.g. All Hands, leadership sessions, team gatherings), ensuring seamless execution through strong planning and coordination.
• Partner with Employee Comms, DEI, Learning & Development, Internal Operations, Executive Assistants and other teams to ensure workplace initiatives are cohesive, intentional and impactful.
• Own and manage the workplace budget, tracking spend, forecasting needs and making informed, cost-effective decisions.
• Use data, feedback and operational insight to identify trends, measure impact and continuously improve workplace performance and experience.
• Build and maintain clear documentation, processes and ways of working that enable consistency, scalability and transparency across the function.
• Build strong relationships with senior leaders and cross-functional partners, acting as a trusted operational partner on workplace matters.
• Collaborate with Workplace teams at a group / parent company level to align on standards, policies and shared initiatives, while tailoring solutions for Depop’s needs.
• Champion a workplace environment that reflects Depop’s values through both operational excellence and thoughtful programming.

Workplace Manager

Product Designer

• Own end-to-end design for high-priority web features, including Wallet (withdrawals, respend), Trust & Safety (age verification, reviews, risk-based pre-chat verification), and Shipping (AUS, ML v3, seller-subsidised shipping, pricing promos)
• Work cross-functionally across six product teams, aligning design decisions with product, engineering and data partners
• Close the experience gap between iOS and web — not by copying iOS, but by designing for web-first patterns that meet users where they are
• Contribute to design quality and consistency, working within Depop's Thrift Design System
• Adapt quickly without sacrificing craft — this role requires both execution speed and high design standards

Senior Product Designer – 6 month FTC

People Operations

• Co-manage the shared People inbox, triaging and responding to queries with speed, accuracy, and empathy
• Support general HR administration, including preparing contracts, offer letters, employment changes, and reference requests
• Maintain accurate employee records across our HRIS systems (Workday), and other people team trackers, ensuring all new starter, mover, and leaver information is up to date
• Own the onboarding and induction experience, including running induction sessions, setting up system access, preparing documentation, and ensuring new starters have a smooth and welcoming introduction to the organisation.
• Assist with offboarding tasks, including issuing exit surveys and keeping People Partners informed of key themes
• Support monthly payroll administration by collecting and maintaining accurate data (changes, allowances, leave updates, etc.)
• Help manage benefits administration, ensuring enrolments, changes, and new hire updates are processed correctly
• Update and maintain People data across HRIS and other internal systems
• Support our People Analyst in generating routine People reports and dashboards, helping us improve data accuracy and insights
• Work with the People Operations Manager to identify opportunities to simplify and improve People processes
• Support People team projects such as documentation updates, policy reviews, onboarding improvements, and internal training coordination
• Help coordinate People-led events, workshops, and initiatives, gradually taking more ownership as you develop

• Tackle an array of user questions and issues via email and social media, with other possible channels launching in the future
