Financial Planning and Analysis

• Manage invoice creation, process team expenses, have a good understanding of our overall budget, and pull monthly budget reports from Sage for budget holders.
• Prepare core financial reports for the board (budget vs. actuals, projections, cash flow charts) and support fundraising financial queries.
• Coordinate quarterly board meetings, manage agendas/slides, take action notes (utilising AI tools), and track the risk and action logs.
• Manage employee onboarding/offboarding, set up equipment, update personnel databases, and prep monthly payroll, working together with our People & Culture team.
• Ensure Companies House records, CIC documentation, insurance policies, and GDPR compliance are strictly up to date, supplier contracts management.
• Plan team-building events, manage co-working events, and coordinate team gifts and milestone cards.
• Act as the internal expert for HubSpot and Wrike, providing staff training and sharing tips on leveraging AI for productivity.
• Maintain clean data entry in HubSpot (donations, donor tracking, reporting, supporting prospect research, following up on proposals), and serve as the team’s eagle-eyed proofreader for newsletters, reports, and proposals.
• Set up and maintain an internal knowledge Wiki (Confluence), maintain up-to date information, assure everyone on the team has access to information they need.
• Prepare budget queries, business cases, liaising with the external provider for bookkeeping / accounting etc.
• Create monthly and quarterly reports in HubSpot.

Business and Finance Coordinator

• You coordinate the development and implementation of the V-Label Award Germany and ensure, together with the team, that the program supports ProVeg’s objectives.
• You manage the organizational and content-related implementation of the award across the entire project cycle — from planning through execution to follow-up — working closely with internal stakeholders and external partners.
• You develop marketing and communications measures for the award, define relevant success metrics and run targeted campaigns across digital channels.

Senior International Talent Acquisition Manager

• You own the end-to-end implementation of the Deel platform across international entities, managing the phased rollout and ensuring "Client Readiness" for go-live dates.
• You support the setup of the Dutch legal entity from a P&C perspective and ensure local compliance.
• You ensure our employment frameworks via our international or the different local entities remain fully compliant with international labour laws, proactively identifying and mitigating legal risks.
• You are the direct contact for Deel, Personio and other partners such as local lawyers.
• You constantly look for ways to augment our existing software ecosystem (Deel, Personio, Leapsome) by setting up AI-assisted workflows supported by our IT department, automating routine communications, and optimising data retrieval for workforce metrics.
