Accounts Receivable Representative I

• Manages all functions of Accounts Receivable, including day-to-day functions as well as any journal entries, reporting, or reconciliations during month end close.
• Verify and post customer payments (check, ACH, wire, credit card) ensuring application to correct customer and invoice(s).
• Review orders on finance hold; communicate efficiently with sales & operations teams or the customer to resolve the hold.
• Process credit applications for customers requesting terms, including reaching out to references, reviewing credit reports, & recommending a credit limit for approval to assistant controller.
• Gather and review resale certificates for customers; ensure customer record is set up accordingly; monitor expiration dates of certificates to ensure there is always a valid copy on file.
• Continually monitor and review open AR; send collections emails to customers for past due balances and escalate as needed.
• Prepare weekly AR Aging report for review with assistant controller.
• Process credit memos for customer returns.
• Maintain a good relationship with customers by responding to all inquiries in a timely manner and resolving any account discrepancies.
• Complete month end closing tasks including accruals & reconciliations.
• Assist with monthly sales tax filing.
• Continually monitor processes and raise issues or suggestions to assistant controller where improvements are needed.
• Any ad hoc reporting or tasks as requested by controller or assistant controller.
• Assist with special projects as needed.

Accounts Receivable and Collections Coordinator

• Execute the firm's weekly accounts receivable communication cycle for all outstanding non-withholding invoices, including outbound calls, texts, and emails
• Conduct direct client outreach to collect payment, answer billing questions, and resolve routine account inquiries
• Document all client communications and collection activities within the firm’s case management system
• Provide exceptional support to firm attorneys
• Ensure attorneys are equipped with organized, complete, and accurate information on client accounts

• De-escalate routine billing concerns and maintain Berry Law's reputation for veteran advocacy while protecting the firm's financial interests
• Recognize when client circumstances require attorney involvement and escalate appropriately without delay

Accounts Receivable Manager

• Ensure strict HIPAA-compliant confidentiality with all client-related data
• Review customer account reports and follow up to ensure any flags/concerns are notated proactively and communicated to the Customer Billing Advocate (CBA)
• Review A/R Aging Reports and follow up with insurance companies regarding expected reimbursement for outstanding claims
• Notate & document all follow up work on aging claims within A/R Aging Reports as required and documented in standard SOPs
• Meet expectations on deadlines for completion of A/R Aging Reports for each customer supported within POD
• Follow up on denials immediately and communicate any trends to CBA
• Follow up on any open A/R tickets in Salesforce as assigned by CBA
• Meet deadlines assigned for A/R work as assigned by CBA
• Utilize denial management platforms for submission of appeals, reconsideration requests, etc.
• Research specific payor billing rules as needed
• Follow up on claims submitted electronically for primary and secondary payors
• Submit corrected claims when needed
• Attend POD meetings and contribute to agenda items as designated by CBA
• Post payments or submit missing payments to posting team and maintain A/R as assigned
• File appeals to insurance and to insurance commissioner as needed
• Stay informed about Payor and Industry Billing rules
• Review & interpret payor contracts when applicable
• Measure and monitor key metrics related to work performance
• Attend customer meetings as needed with CBA
• Work to meet POD goals collectively as cohesive team

AR Specialist

• Monitor portfolio of accounts daily and identify outstanding account receivables
• Investigate historical data for debts and bills and take actions to encourage timely payments
• Process payments, credits, and refunds
• Research and respond to customer inquiries regarding billing-related issues
• Reconcile accounts for billing and cash application and resolve customer credit issues
• Contact customers (via phone and email) with overdue balances and collect payment
• Negotiate payment plans within approved guidelines
• Update account status records and keep up-to-date accurate notes on customer records
• Prepare and present reports on collection activities and progress
• Contact customers with declined credit cards and respond to ACH chargebacks within allotted time from the bank
• Answer incoming phone calls and respond to voicemails in a timely manner
• Respond to internal requests and manage email inboxes daily (personal and group email inboxes)
• Help customers navigate through the cancellation process to settle their contract balance
• Review accounts that have filed for bankruptcy
