• Assisting the Purchases to Pay team and their Day-to-day operations / projects
• Manage the end-to-end accounts payable process
• First point of contact for escalations internal and external and query resolution.
• Resolve price difference / receipting queries with buyers/procurement as necessary.
• Supervise the AP Shared Mailbox to ensure all emails are responded to appropriately.
• Workflow improvement and implementing changes to enhance AP efficiency and accuracy.
• Streamline processes to ensure successful 1st time match rates.

Senior Accounts Payable Analyst

• Own the end-to-end AP process: invoice capture, coding, approvals, posting, and payment
• Be the first point of contact for supplier and internal AP queries; resolve discrepancies promptly and professionally
• Process purchase invoices and credit notes in ExpenseIn and Xero (including multi-currency), ensuring correct VAT/tax treatment where applicable
• Manage employee expenses and company credit card transactions, ensuring policy compliance and accurate coding
• Maintain the purchase order process: ensure POs are raised for committed spend, obtain approvals, and match PO to invoices
• Prepare weekly payment runs and ad-hoc payments, ensuring payments follow approval controls and agreed supplier terms
• Reconcile supplier accounts and statements; investigate and clear aged items, duplicates, and unmatched transactions
• Perform bank reconciliations and support month-end close activities related to AP
• Manage the Finance shared mailbox, prioritising queries and maintaining clear audit trails
• Support onboarding and maintenance of supplier master data (e.g., bank details) in line with internal controls
• Manage HMRC customs reporting requirements and payments relating to import taxes on supplies
• Provide reporting and supporting documentation for financial reporting and audit requests, and contribute to continuous improvement initiatives

Accounts Payable Assistant

• Process, code, and post supplier invoices accurately and in a timely manner
• Reconcile supplier statements and investigate and resolve discrepancies
• Prepare and process supplier payment runs in line with company procedures
• Conduct regular bank reconciliations, ensuring all transactions are recorded, and variances are identified and resolved
• Perform data cleansing activities within the purchase ledger, ensuring supplier records are accurate, up to date, and free from duplication or errors
• Maintain and update supplier master data, including bank details and contact information
• Liaise with suppliers and internal stakeholders to resolve queries efficiently
• Support month-end processes, including accruals, prepayments, reconciliations, and reporting
• Ensure compliance with internal controls, financial policies, and audit requirements
• Undertake any other reasonable duties as required to support the finance team and business operations

Accounts Payable Administrator

• Own the AP function across multiple entities
• Reviewing and validating supplier invoices, purchase orders and documentation
• Processing invoices in the ERP system (NetSuite), ensuring correct coding and approvals
• Preparing and executing supplier payment runs in line with policy and terms
• Performing supplier statement reconciliations and resolving discrepancies
• Managing supplier and internal queries related to invoices and payments
• Maintaining accurate AP records, documentation, and audit trails

• Check and match stock invoices against purchase orders, raising queries for discrepancies in a timely manner.
• Reconcile stock supplier statements and resolve discrepancies in a timely manner.
• Manage the relationship between Rixo and our Stock Suppliers, alongside our Product Development Lead.
• Assist the management accountant in month-end closing activities, including stock & accrued purchases reconciliations.

• Enter invoices to the purchase ledger on D365, ensuring they agree to purchase orders
• Analyse and post non purchase ledger invoices (vehicle leasing, fuel etc.) to cost centers
• Liaise with suppliers regarding credit notes and post to ledgers as appropriate
• Raise and resolve queries as appropriate for anomalies, such as invoices not in agreement with purchase order, invoices for unreceipted goods etc.
