Administration

• Provide administrative support to the Client Partner and property management team.
• Manage Clients property portfolio with a focus on delivering excellent service and maintaining strong occupier relations.
• Coordinate and collate updates for monthly/quarterly reporting, including chasing PM teams, preparing and checking output as well as ensuring reports are delivered on time.
• Ensure the PM teams update trackers at the required intervals and escalate to the Client Partner where appropriate.
• Submit trackers and reports by the deadlines set.
• Review and suggest more efficient ways of working or simplified processes.
• Act as the first point of contact for Occupiers enquiries.
• Work with the FM team and liaise with Contractors to draft framework agreements in compliance with the firm’s procurement policy.
• Coordinate responses for data queries and conduct regular data integrity checks while updating the property management systems.
• Support the PM team on the completion of service charge budgets and reconciliations.
• Review and update Health and Safety Reports to reduce risk.
• Support the PM team to develop and implement emergency response plans.
• Provide support with sustainable property management, including the collection, management, and analysis of utility data.
• Lead smaller projects with the Client team and wider business where required.

Property Administrator

Manager

• Responsibility for the provision of facility and property management services to the designated properties in accordance with Specifications and KPI’s
• Responsibility over contractor management and H&S compliance for the allocated portfolio.
• Establish positive working relationships with occupiers, prepare and jointly with the PM team host occupier meetings. Assist with operational management of occupier fit out work.
• Develop and review at appropriate intervals suitable management procedures for individual buildings to include but not limited to Occupiers Handbook, Contractor Rule etc.
• Attend Client Meetings as required.
• Assist in the preparation and management of Service Charge budgets for all multi-let properties on the portfolio, monitor expenditure and annual reconciliations based on RICS and client agreed timeline.
• Carry out regular property inspections of the common and tenants’ areas and instruct any remedial works as required. Ensure property inspection reports are loaded onto relevant H&S systems within 5 working days from completion.
• Assist with management of onsite staff including building managers, site receptionists and security guards- where applicable
• Manage Health and Safety compliance by all suppliers, ensure permits and permissions of works are raised to cover any contract and ad-hoc works
• Manage and monitor Health and Safety systems e.g. QUOODA and Meridian and ensure performance statistics are maintained at the required level- expected above 90% on document management and 100% on site inspection reports.
• Authorise supplier invoices in accordance with delegated authority level.
• Review contracts on a regular basis to ensure value for money, prepare specifications and tender contracts with assistance from relevant consultants where applicable.
• Ensure contracts are available either on Dwellant system (where applicable) or copies saved on companies filing system.
• Ensure Procurement is carried out in accordance with company policies and procedures and in line with procurement team's strategy and guidance.
• Be available to assist with emergency calls out of hours e.g. liaising with suppliers to ensure urgent attendance.
• Regular liaison with the property management team and attendance at briefings and client meetings

Regional Facilities Manager – 12 months Fixed Term Contract

• Work with internal and external stakeholders to develop our change management framework.
• Create clear plans for moving from current state to target state, including process mapping, programme management, and project documentation.
• Report to the Head of Business Operations and Management Board.
• Translate strategy into human impact, communicating benefits with the right messaging.
• Work closely with HR, Marketing, Compliance and IT teams, and with Professional Service Line Heads of Departments.
• Provide flexible support to help decision-makers understand their options.

• Run workshops, briefings and presentations to engage stakeholders.

Change Manager

• Maintaining regular and direct communication with tenants to manage arrears.
• Working closely with accounts teams to provide the best service.
• Producing arrears reports with analysis for Property Managers and clients.
• Communicating with tenants via phone, email, and letter.
• Maintaining tenant databases with accurate details.
• Proactively contacting tenants based on their payment history.
• Regularly reviewing daily bank downloads for correct fund allocation.
• Reconciling tenant accounts and instructing collection agencies as authorized.

Credit Controller

Account Manager

• Building and maintaining close professional relationships with clients, tenants and colleagues is paramount to your success.
• Regular communication with internal property managers and onsite staff to help organise, facilitate and deliver the properties marketing activities.
• Focus on delivery of marketing and events activity for retail and commercial schemes.
• Assist and review objectives for the Marketing Assistant(s), providing them with guidance to complete relevant tasks.
• Contribute to the preparation of each properties annual marketing budget and associated strategies, together with Property Managers and Centre Managers.
• Implement a robust activity planning process for each account, providing a clear plan and actions for the year ahead.
• Accountable for budget management on relevant schemes with the raising of purchases orders, or tracking payments where applicable.

Consultant

• You will lead and coordinate the delivery of Whole Life Carbon Assessments (WLCA) across a broad portfolio of commercial real estate projects, acting as the core technical specialist within the team.
• Working closely with design teams, QSs and project managers, you will oversee WLCA modelling, manage data inputs, and ensure methodological consistency across all projects.
• Acting as a primary advisor to clients, you will distil complex carbon outcomes into clear recommendations that inform design, cost and value focused decisions.
• You will also contribute to the evolution of our sustainability service lines by integrating WLCA thinking into wider net zero strategies, supporting cross disciplinary collaboration and strengthening our technical reputation in the market.
• Managing WLCA delivery using industry tools such as One Click LCA, eTool, EC3 or Excel-based models.
• Coordinating multidisciplinary project teams to gather data, validate assumptions and maintain methodology consistency.
• Reviewing cost plans and BoQs to extract material quantities and interpret commercial implications.
• Preparing and delivering WLCA outputs and presentations for clients and internal stakeholders.
• Leading improvements to WLCA templates, benchmarks, tools and processes, ensuring alignment with LETI, RICS WLCA PS, UKGBC and UK net-zero frameworks.

• We are growing our Sustainability Advisory team and are seeking a technically minded Consultant to support our expanding pipeline of Whole Life Carbon Assessments (WLCA) and wider decarbonisation work across our commercial property portfolio.
• You’ll work closely with our WLCA Lead and the wider Sustainability team to produce high quality assessments that directly shape client design decisions.
• Your work will span embodied carbon, operational energy inputs, benchmarking, and whole life modelling.
• Delivering robust technical analysis that strengthens the accuracy, credibility, and impact of our WLCA outputs and decarbonisation recommendations.
• Supporting project teams with reliable data, well structured models, and clear documentation that enables confident decision making throughout design stages.
• Contributing to a culture of quality, precision, and continuous improvement across our technical sustainability workflows.
