Accountant

• Manages and improves the Empire Discovery Institute (EDI)’s business finances and works with the EDI team to help develop a long-term strategy toward financial independence from New York State funding needs.
• Working closely with the EDI CEO and staff, assists with the management of programs from EDI’s partner Institutions at the University of Rochester, University at Buffalo and Roswell Park Comprehensive Cancer Center, and collaborates with those partners to ensure timely invoicing, payments and strong business operations.
• Manages and processes all business transactions and monitors cash flow, budget projections, and makes recommendations for business improvement.
• Partners with CEO of the Empire Discovery Institute to develop the annual budget, ensures spending remains within allocated resources, and tracks actual versus anticipated spend.
• Makes projections for future budget periods.
• Key responsibilities include payments of invoices to consultants, vendors, and external contract research organizations, including via external payment methods.
• Partners with external accounting and audit firms to ensure compliance with reporting obligations to EDI’s Board of Directors and to New York State.
• Works closely with the CEO of the Empire Discovery Institute and members of the Scientific Advisory Board and Board to implement EDI’s program investments.
• Works collaboratively with EDI team to find efficient solutions to timeline delays, unexpected payment matters, and adapts research plans to accommodate business needs.
• Helps create Statements of Work (SOWs), aligning budgets accordingly.
• Coordinates payments to partner.
• On a quarterly and annual basis, creates quarterly statements of financial status for reporting to the EDI Board.
• Completes annual audits, files required tax forms, and issues 1099 forms to independent consultants as appropriate.
• Coordinates with EDI’s independent Treasurer to ensure proper checks/balances are followed.
• Provides proper and accurate reports and accounting to our stakeholders at Empire State Development (ESD).
• Tracks funding requirements and submits requests for support as permissible, demonstrating a professional command of EDI’s business standing and projections.
• Compiles documents for audit purposes, as required.

Executive Assistant

• Provides clerical, receptionist and customer service on patient care units while maintaining confidentiality.
• Transcription of patient care orders; schedules tests and procedures; completes and processes requisitions for tests, procedures and equipment.
• Obtains patient care equipment and supplies; notifies department of equipment needing repair.
• Participates in patient admissions, discharges and transfers; updates patient care forms (e.g., patient census and diet order listing).
• Greets visitors and staff; provides directions and telephone coverage; takes and delivers messages; triages problems to appropriate person or department.
• Maintains record of patient location when off unit and communicates with other departments on patient, staff and unit related matters.
• Follows directions of nurses, physicians and other authorized personnel during emergencies.
• Orders and restocks supplies/forms; assures arrival and appropriate restocking; maintains clean and orderly work environment.
• Provides assistance on other units and assists with patient transport as needed.
• Uses telephone, intercom, pneumatic tube system, copier, addressograph machine, computer terminal, shredder and fax machine.

• Provides communication support services, including general clerical, general information, wayfinding, technical support, provider/service referral, patient registration, and scheduling services
• Collects, assesses, submits, processes and updates sensitive and confidential information
• Resolves patient access issues within limits and works with confidential information from various business systems and in accordance with multiple work-flow protocols
• Answers large volume of inbound inquiries by phone, email, and other electronic interfaces
• Follows prescribed protocol and Standard Operating Procedures to schedule patient appointments, resolve patient issues, respond to patient/physician inquiries, handle or redirect billing inquiries, handle patient/customer complaints and provide basic technical support
• Ensures appropriate use and distribution of Electronic Medical Record information
• Makes independent decisions to act outside of the protocol to transfer, refer or resolve emergent situations
• Accurately and efficiently uses appropriate business systems and/or software to navigate, interpret and analyze, report, troubleshoot, schedule appointments, register patients, record information, and document problem resolutions

• Develops, leads, and evaluates inclusion and culture initiatives that foster interest among elementary, high school, undergraduate, and graduate students, for careers in medicine and scientific research.
• Serves as the subject matter expert and key driver of pathway programming; interacts and consults with faculty, staff, students, area schools and organizations, and other external stakeholders to promote awareness and achieve measurable results aligned with inclusive excellence in education and training.
• Management and operational responsibility in the strategic planning, development, implementation, and evaluation of pathway programs.
• Grant management including identifying funding opportunities, leading proposal development, managing budgets, ensuring compliance with grant requirements, and preparing reports.
• Develops and oversees programming to expand and increase community engagement programs, marketing, and recruiting; manages project scope, timeline, and milestones; identifies, tracks, and manages risks and issues to resolution.
• Collaborates with program leadership on project plans, exercises autonomy managing all phases of project planning and execution.
• Develops and fosters relationships with community members, vendors, program stakeholders, funders, other university departments, and other pathway program leaders; collaborates with Advancement to coordinate donor engagement.
• Establishes and facilitates relationships with faculty serving as PIs; connects PIs with mentees and programs.
• Establishes and executes communication plans, maintains and communicates program schedules, metrics, and ongoing status; serves as primary point of contact for guardians of minor participants.
• Completes and maintains all phases of the grant lifecycle including proposal development, reporting, and budget reports; primary liaison with grant funders; provides regular project updates; manages vendor relationships where applicable.
• Leads gap analyses on the University’s pathways for learners; consults with other leaders to identify program needs; identifies success metrics and monitors progress; analyzes and synthesizes data to determine success and recommend improvements.
• Tracks educational and career trajectories of program participants in a centralized database to support reporting and impact assessment.
• Provides strategic leadership and direct supervision for a team of medical and graduate student employees: recruits, reviews applicants, interviews, selects, onboards, trains, supervises.
• Serves as an advocate for educational equity and access through participation in community events, advisory boards, and regional coalitions; builds and maintains relationships with K-12 schools and community organizations; represents the university at public meetings and outreach events.
