Proposal Manager

• Work alongside our Quincy-based Marketing Manager in pursuit of new work, with an emphasis on projects in the northeastern United States.
• Assist with the retrieval and tracking of requests for proposals/qualifications and help with go/no-go discussions.
• Lead proposal plan preparation and drive proposal kick-off discussions.
• Develop compelling firm qualifications, proposals, and presentation materials in support of Apex’s business initiatives. Includes layout, writing, and coordination.
• Assist with the writing, cataloging, and updating of project materials, such as profiles, team resumes, and client references.
• Produce proposals in person, as needed, from either the Quincy, MA or Woburn, MA office.
• Travel to client locations to deliver proposals, as needed.
• Support special events and trade shows, on occasion.
• Perform tasks to ensure the quality of Marketing materials, such as proofreading, aesthetics, and compliance reviews.

• Work as a stormwater and water resources subject matter expert and be responsible for technical project delivery and design, scheduling, budgeting, and client management.
• Supervise and direct individuals or teams of technical staff on complex projects and/or multiple smaller projects.
• Assist in the training and technical development of staff by various means including holding training seminars, providing technical guidance during project execution, and bringing new technical developments in-house.
• Assist with strategic planning, training, proposals, and business development.
• Consult with other technical staff and Project Managers on technical challenges in the stormwater and water resources discipline while also providing independent technical reviews on stormwater and water resources components of projects for other disciplines.

• Maintain organized records of licenses, filings, and supporting documentation.
• Monitor regulatory changes that may impact licensing requirements and communicate updates to relevant stakeholders.

• Supervises and trains less experienced staff by proving daily guidance and checking their work and progress. Provides input for completion of annual reviews.
• Develops technical approach, schedules, and fee estimates for proposals on large-scale or more complex projects to produce an effective and quality proposal.
• Maintains quality control within the discipline by reviewing designs, checking calculations, assumptions, and the basis of design on more complex projects.
• Assists in the coordination and attends client meetings, including public hearings. Prepares and performs oral presentations for clients regarding project deliverables.
• Assists Project Manager by leading construction administration tasks such as construction progress meetings; submittal reviews; preparation of meeting agendas and minutes; review of daily and weekly construction reports; preparation of payment applications, RFIs, and change orders; coordination with Resident Project Representatives; completing project closeout; and tracking construction schedules. Provides updates to the Project Manager.
