• Handle a portfolio of strategic accounts and flagships companies

Key Account Manager, French Speaking

• Operations Coordinators (or 'Ops Runners') are at the heart of our run organization: they operate our processes daily while continuously improving them.
• They work in pools of 3–7 runners, each collectively responsible for a specific scope — for example:
• Alan Clinic / Therapy: Maintaining smooth relationships with psychologists, matching therapy supply and demand, managing onboarding, invoicing and booking.
• Claims: Handling claims, monitoring external service providers, and ensuring a best-in-class experience for our members.
• Fraud: Investigating suspicious claims, preventing fraudulent payments, and developing new prevention methods.
• Set up: Ensuring seamless onboarding/offboarding of employees and billing for our customers.

Operations Coordinator

Revenue Operations

• You'll own effectiveness initiatives end to end, setting the roadmap, designing the solution, building it, driving execution, and managing change across the organization.
• You'll spend meaningful time in the field to spot gaps in our sales process, then design smarter workflows by eliminating steps and increasing automation.
• You'll evaluate new tools and technologies, run tests, and roll out what works.
• You'll mostly work with low-code tools (like Zapier or n8n), AI, Salesforce, SQL via Metabase, and whatever else the job calls for.
• Enablement is a key part of the role: you'll shadow, train, measure adoption, and iterate until change sticks.

Onboarding Specialist

• You will be responsible for ensuring a seamless transition for our biggest clients, serving as their dedicated Alan specialist during the critical onboarding phase.
• Your primary mission will be to handle admin requests in a meaningful, delightful, and timely manner.
• You will lead comprehensive onboarding workshops and provide hands-on training for HR and Payroll administrators on Alan's dashboard, while managing complex processes including payroll integration, employee affiliation, and billing setup.
• All Operational Onboarding Managers work on specific projects outside their regular duties, contributing to process improvements, tool optimization, and organizational methods.
• You will actively collaborate with various teams such as Key Account Managers, Customer Success Managers, Ops, Sales, Care, Pre-Sales, and Engineering to ensure a seamless onboarding process and address any issues proactively.

• Ensuring a smooth onboarding journey to key accounts and provide ongoing support throughout their partnership with Alan.
• The operational onboarding manager is accountable for operational excellence and long-term satisfaction of our most strategic accounts.
• They play a critical role as Alan continue expanding Enterprise and Public sector partnerships.
• Scaling the role's process and support. We will need to design new guidelines & processes as we move forward, to scale this customized approach to onboarding!
• Helping Our Admins. Your primary mission is to ensure operational excellence and an outstanding admin experience across a portfolio of key accounts (5 to 10 accounts per onboarding manager). You'll be the go-to expert for complex admin topics such as affiliations, payroll management, invoicing, and billing—delivering meaningful, proactive, and delightful support while building deep expertise along the way.
• Train and onboard admins on Alan's product, workflows, and best practices (remote and occasionally onsite): affiliation lifecycle, payroll management, invoicing, and more
• Own admin support end-to-end for your account portfolio: handle requests, investigate issues, coordinate with internal teams, and ensure timely resolution
• Manage complex or sensitive conversations with admins (objections, escalations, high-stakes operational topics) with clarity and empathy
• Anticipate risks (missing affiliations, payroll edge cases, invoicing issues) and prevent blockers before they impact admins
• Building the role in Belgium. All onboarding managers actively contribute to improving Alan beyond their day-to-day support work. You'll help shape the function itself—designing processes, playbooks, and ways of working that will scale as we grow.
• Identify recurring pain points and propose improvements: documentation, playbooks, tooling, and product feedback (with Product Specialists and relevant crews)
• Contribute to team priorities depending on the period: process/tooling projects, knowledge sharing, and occasionally hiring-related work
• Report on operations at the company level to ensure visibility on opportunities derived from admin insights
• Collaborate closely with Key Account Managers, Pre-Sales, Customer Success Managers, and Operations to remove blockers, coordinate resolutions, and surface product/process improvements.

Operational Onboarding Manager, CSS

Accountant

• Run our key accounting processes: lead monthly, quarterly, and year-end closings
• Ensure a feedback loop to drive process improvements, surface anomalies, flag data gaps, and actively contribute to making the closing faster, more automated, and more reliable over time.
• Month-end close: own the end-to-end closing cycle across multiple legal entities; post pre-formatted journal entries into NetSuite, ensure completeness and accuracy, and deliver on schedule every month (target: close by D+5)
• Accounting review: perform a thorough first-level review of balance sheet and P&L accounts at each close; identify unusual movements, resolve discrepancies, and ensure the overall reliability of the financial statements; build processes (routines, verification files, control procedures)
• Account and bank reconciliation: maintain clean, up-to-date reconciliations across all balance sheet accounts and entities on a daily basis
• Contribute to finance transformation and system improvements: identify manual or repetitive tasks and collaborate with Financial Data to drive automation and reduce closing friction over time; translate new business streams and P&L lines into accounting (acting as an interface between business teams and Finance)
• Tax and statutory compliance: prepare and file VAT returns, URSSAF declarations, and other statutory filings accurately and on time; coordinate with external advisors where needed

Manager

• Organize, coordinate and oversee end-to-end response processes (mémoire technique, administrative docs, compliance, customized material, soutenance material, account based marketing document) working closely with sales, product, ops, and pricing teams.

• Contribute to identifying the Client's selection criteria and "hot buttons", and to defining the answer strategy along with Sales team

You’ll educate prospects, deliver engaging product demos, and onboard key stakeholders to make the transition from prospect to customer seamless.
