Accounts Payable

• Secure and maintain W-9 forms and prepare annual 1099-MISC and 1099-NEC return
• Create new vendor following Company policy and local tax requirement
• Verify vendor bank information & payment instructions/terms
• Verify vendor accounts by reconciling monthly statements
• Enter new or update vendor names and data
• Partner with General Accounting team in the month-end close process
• Review aged Accounts Payable by vendor on weekly basis
• Review, code, post vendor invoices after verifying G/L account, cost center, vendor information, and approval status
• Setup payment for invoices
• Process checks, online credit card payments, ACH and wire transfer payments
• Reconcile vendor accounts with system regularly
• Resolve vendor discrepancies in a timely manner
• Participate in writing Standard Operating Procedures
• Maintain complete records of invoices/vendor information digitally
• Assist with financial system upgrade
• Monitor and manage autopay vendors

Accounts Payable Coordinator

• Review vendor invoices and client charges (disbursements) and enter into the Firm's accounting system.
• Cross-reference client disbursement submissions with relevant billing guidelines to determine appropriate process.
• Process weekly payment runs including ACH, Wire batch, and check payments.
• Review check requests and travel expenses submitted via Chrome River.
• Make sure all support documentation is attached to each voucher in the accounting system.
• Provide back-up as required.

• Reconcile vendor statements and resolve discrepancies and payment issues promptly
• Manage payment runs (ACH, wire, check) and ensure compliance with payment terms
• Review and approve work completed by Accounts Payable Clerks/Coordinators
• Assist with month-end and year-end close, including accruals and AP aging analysis
• Maintain and enforce internal controls and SOX compliance (if applicable)
• Support audits by preparing documentation and responding to auditor inquiries
• Lead or support AP process improvements, system upgrades, and automation initiatives
• Train, mentor, and provide day-to-day guidance to junior AP team members

Senior Accounts Payable Coordinator

• Review, code, and process vendor invoices, check requests, ACH payments, and employee reimbursements.
• Ensure all payments have appropriate documentation, approvals, and comply with organizational policies.
• Maintain accurate vendor records and payment files (electronic and paper).
• Serve as primary point of contact for vendor inquiries regarding payment status.

Accounts Payable Specialist

• You’ll own global cash positioning and intercompany funding to ensure operational liquidity, including managing bank borrowings and debt covenant compliance
• You’ll oversee the global Accounts Payable and T&E platforms, managing the full lifecycle of invoice processing, payments, and vendor maintenance
• You’ll oversee all systems enhancements related to AP/T&E automation, ensuring technical configurations align with global business needs and industry-leading AI capabilities

Senior Manager, Cash Management, Accounts Payable

• Overall responsibility for AP invoice processing, including hands-on execution of invoice entry, payment processing, coding, and approval workflows
• In collaboration with the Financial Systems Analyst, provide training on Coupa Software to finance staff, program directors, and other staff members responsible for processing accounts payable
• Responsible for managing and directly executing AP close activities, including accruals and reconciliations.
• Manage the preparation of the year-end 1099 process
• Review, perform and approve the Accounts Payable accounting entries and monthly AP Aging
