• Own day-to-day office operations in our Berlin HQ: supplies, vendors, and making sure the space works for a growing team

Office Manager, Executive Assistant

Associate

• Run the launch of new Voyfai entities end-to-end against an established playbook (legal setup, banking, insurance, employment contracts and operational processes) together with the local freight forwarding entrepreneur
• Own defined integration workstreams for newly acquired companies, such as driving adoption of Voyfai's tools and ways of working across their teams
• Roll out Voyfai's Transportation Management System (TMS) and AI-enabled tools, ensuring local teams are fully operational within the Voyfai ecosystem
• Coordinate multiple stakeholders across legal, finance, product and operations, keeping workstreams on track and flagging blockers early
• Train and support local teams on Voyfai's systems, workflows and operational standards, applying change management where needed
• Iterate and improve the launch and integration playbook based on what you learn on the ground
• Travel to entity locations (typically 8–12 days per month)

Senior Associate, Post-Merger Integration & Expansion

People Operations

• Build the People function at Voyfai HQ from the ground up: processes, frameworks, and ways of working
• Own org design as the company evolves post-Series A, including defining leadership levels and career structures
• Act as a trusted People advisor to group company leaders across Europe, supporting them on people matters including change management, leadership development, and restructuring
• Coach and develop junior and mid-level leaders across the group, proactively and not just when things go wrong
• Lead consolidation and integration initiatives from a people perspective as Voyfai acquires and integrates new companies
• Drive internal group mobility and talent development across HQ and group companies
• Support the co-founders on people strategy, org structure decisions, and hiring priorities

Director People

Implementation Specialist

• Lead product implementation at our acquired freight forwarders across Europe and Asia.
• Sit with operators onsite every week, find the moments where Voyfai gets in the way, and fix it onsite.
• Scope bigger work for engineering when it cannot be fixed onsite.
• Drive the design of new MVPs with portfolio companies and engineering.
• Lead integrations with each new acquisition's existing systems.
• Build operator trust in our AI features.
• Push usage.

Product Implementation Lead – Adoption, Freight Operations

Manager

• Lead the setup of new Voyfai entity together with local freight forwarding entrepreneur, ensuring the entity is ready to operate and onboard customers.
• Work with external legal partners and internal stakeholders to ensure all required documentation and compliance requirements are in place.
• Roll out Voyfai’s Transportation Management System (TMS) and AI-enabled tools, ensuring the local team is fully operational within the Voyfai ecosystem.
• Drive the adoption of Voyfai's suite of tools across new entities, supporting local teams through change management and ensuring a smooth transition to Voyfai's systems and ways of working
• Coordinate the setup of insurance, banking, employment contracts, and operational processes required for the new entity to function.
• Train and support local teams on Voyfai’s systems, workflows, and operational standards.
• Act as the bridge between the local entity and Voyfai’s central teams to ensure a smooth launch and ongoing integration.
• Travel to entity locations (typically 8-12 days per month)

Expansion Manager

Chief of Staff

• Own and drive the company OKR process. Setting the rhythm, tracking progress, and holding teams accountable.
• Prepare and run core leadership meetings, All Hands and leadership offsites.
• Act as a trusted thought partner to the Co-Founders: anticipate needs, structure decisions, and ensure nothing critical falls through the cracks.
• Lead cross-functional strategic initiatives and project-based work (e.g. launching new services and business lines)
• Support fundraising-adjacent work including investor materials and strategic narratives on a non-recurring basis.
• Build trusted relationships across the leadership team and serve as a key liaison between the Co-Founders and the rest of the organisation.
