Operations

• The Executive Operations Manager will support key Strategy & Innovation and Office of the CEO priorities that includes high-level governance and executive support functions, balanced with the essential logistical and administrative duties.
• In this role, you will be a strategic and administrative liaison with Trevor’s Board of Directors.
• Be an administrative owner in key operational tasks.
• Be a project manager to provide structure and action on key executive priorities.
• Work with the Board, senior leaders, and staff to ensure collaboration, interconnectedness, and optimization in processes and stakeholder engagement related to Board management and key strategic and operational capabilities.

Executive Operations Manager

Financial Planning and Analysis

• Prepare and distribute monthly and quarterly financial reports to department and vertical leads
• Generate monthly expense accruals & entries, coordinating with accounting team
• Generate monthly variance reports analyzing key drivers, summarizing irregularities, and drafting plans to mitigate
• Assist Senior Director of Finance in preparing annual organizational budget, multi-year forecasts, and scenario planning analyses
• Manage state reporting through oversight of third party vendors; state reporting includes annual reports, charity registration and CCVs, ensuring accuracy and timely filing
• Prepare timely budgets and progress reports for donors, working closely with Development team; monitor restricted grant activity
• Serve as a strategic finance partner to departments, meeting with leaders to discuss results and forecast, and providing added-value support
• Manage systems and models to ensure integrity of data and timely distribution of information; recommend and implement process improvements and automation to enhance forecasting accuracy and operational efficiency.
• Support annual audit and tax compliance
• Analyze financial data to support organizational decision-making
• Collaborate with the accounting team to reconcile financial data as needed
• Participate in cross-departmental projects (e.g., new grant rollouts, system upgrades, and other initiatives)

Senior Manager, Financial Planning – Analysis

Accounting Manager

• Oversee daily accounting functions including general ledger management, accounts payable, cash, revenue, accounts receivable, etc.
• Lead monthly, quarterly, and year-end close processes, ensuring timely and accurate financial reporting; support preparation of management and board reporting to provide timely analysis on organization performance
• Manages the organization’s assets and liabilities through continual review, reconciliation and evaluation of the statement of financial position; partners with the CFO and leadership team to identify and assess risks
• Coordinate annual audits and preparation of federal and state tax returns; serve as primary liaison with external auditors
• Enhance and enforce internal control policies and procedures; maintain comprehensive records and SOPs to support control environment
• Ensure compliance with GAAP and federal/state regulations (including Uniform Guidance for federal grants)
• Lead, develop, coach, and manage a team of direct reports, ensuring team accountability, strategic alignment, and results
• Partner with department leaders to ensure proper allocation and reporting of restricted and unrestricted funds
• Partner closely with the Sr Director of Development Operations and technology team to ensure continued synchronization of accounting and CRM systems.
• Manage mail operations for the organization, including oversight of USPS and other third party vendors
• Manage financial systems and suggest improvements for operational efficiency; direct implementation of new accounting system.
• Participate in cross-departmental projects (e.g., new grant rollouts, system upgrades, and other initiatives)
• Collaborate cross-functionally to align funding strategies, payroll accounting, and budget allocations
• Track key accounting performance indicators (e.g., close cycle time, audit readiness, reporting accuracy) and use insights to inform process improvements.

Marketing

• Diseñar e implementar estrategias de procuración de fondos, comunicación visual y gestión de redes sociales.

Marketing and Fundraising Associate

Community Manager

• Manage the day-to-day needs and projects of the Midlevel program
• Manages a strategic portfolio of high-level Beacon donors ($1K+) and cultivates relationships to secure annual and increased support.
• Conducts calls and virtual visits with donors on a monthly basis.
• Implements new ideas to continually improve the Midlevel Giving donor experience.
• Partners with the Senior Manager, Community Philanthropy, Direct Response & Digital Fundraising to execute mail and digital strategies to increase Beacon revenue.
• Collaborate with the sustainer donor lead to build strategies for recurring donors
• Manages the Major Gifts qualification process in collaboration with the Development Operations prospect researcher and the major gifts team.
• Develops and executes quarterly Mid-level engagement opportunities that allow donors to connect, learn, and inspire them to give.
• Ensures all donor contacts and information are entered and updated in Trevor’s donor CRM.
