About the role

  • Provide administrative and project support to the Partnerships & Business Development team and occasional support to the Senior Client Services Director.
  • Serve as the first point of contact for the department.
  • Maintain and manage calendars.
  • Schedule and organize meetings including creating agendas, supporting materials, and recap notes and reports.
  • Coordinate travel and reconcile expense reports.
  • Generate and track invoices; scan and copy documents.
  • Organize and maintain electronic files, including on Sharepoint.
  • Order departmental office supplies.
  • Provide support on-site during GRAMMY Season and at select events throughout the year.
  • Perform other administrative duties as needed.

Requirements

  • Bachelor’s degree in Business Administration, Marketing or similar field.
  • 3-5 years of related administrative experience, preferably in Sales, Marketing, or Communications, and/or equivalent combination of education and experience.
  • Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint).
  • Familiarity with Sharepoint.
  • Excellent organizational skills and attention to detail.
  • Ability to work efficiently while managing workload and meeting deadlines, keeping information organized and accessible.
  • Strong written and verbal communication skills with excellent customer service and the ability to maintain a professional and diplomatic demeanor at all times.
  • Excellent interpersonal skills with the ability to solve problems and maintain composure in highly-sensitive situations while maintaining confidentiality.
  • Ability to multi-task, stay organized, and handle delicate situations with maturity.
  • Excellent at managing up and problem solving.
  • Must be flexible and adaptable with the ability to pivot and prioritize due to frequent changes, delays, or unexpected events.
  • Willingness and availability to work overtime as needed.
  • Ability to occasionally stand, walk, sit for long periods, work at a computer for long periods, and lift/move up to 60 pounds.
