About the role
- Run day-to-day office operations (supplies, snacks, equipment, mail, space planning, and light upkeep).
- Serve as the primary Maria 01 contact and ensure compliance with health & safety requirements.
- Keep the office pleasant and functional, including kitchen supplies and future office moves.
- Organize company offsites and teams events.
- Coordinate staff gifts, Swarmia swag, and other culture-building traditions.
- Manage onboarding/offboarding logistics and support perks, benefits, and well-being programs.
- Act as a go-to person for employees’ workplace questions.
- Maintain vendor contracts, software licenses, and renewals in coordination with Finance & Legal.
- Support Finance with invoices, expenses, credit card reconciliations, subscriptions, and travel logistics.
- Assist with internal processes, systems, and policy improvements.
- Provide administrative and back-office support across teams.
- Help with meeting logistics and internal communications.
- Report to the Head of Finance and Operations and touch almost every corner of the company.
Requirements
- Strong organizational skills and attention to detail.
- A proactive, hands-on approach — someone who sees what needs doing and does it.
- Comfort juggling many small but important tasks.
- Interest in startup culture and shaping how things work in a small, growing team.
- Excellent communication skills in English; Finnish is a plus.
