Administrative Assistant

• You handle traditional correspondence, manage incoming and outgoing mail, and ensure structured document management (digital and physical).
• You are the first point of contact by phone and email for our clients, partners and service providers.
• You support us in day-to-day business activities, draft offers, prepare invoices and carry out preparatory tasks for our accounting team.
• You coordinate appointments, arrange travel for the team and prepare meetings (e.g., set up meeting rooms).
• You collect, review and organize invoices and receipts, manage quotations and work closely with our tax advisor and company management.

• You will support the build-out and development of new business areas and independently work toward achieving set objectives

• As a Founders Associate, you will work directly alongside our founders.
• You are not someone who only watches — you will be fully involved from day one, take ownership, and actively shape the future of Project Bay.

• You analyze new markets and locations across Europe and provide the decision-making basis for our expansion.

• You are the right hand, the organizational whiz and the primary sparring partner for our founding team.
• You provide maximum support in day-to-day operations.

• You create professional, engaging presentations (Google Slides/PowerPoint).

Executive Assistant, Operations Generalist
