About the role

  • Act as the welcoming face and voice of the company, answering incoming calls and responding to messages
  • Direct inquiries to appropriate internal team members and respond to basic questions using scripts
  • Send follow-up emails/messages with requested documents and monitor reroute incoming messages from website, email, and social media
  • Manage and update internal databases and contact lists, send/receive/organize documents and forms
  • Assist with appointment confirmation, follow-up communication, and meeting prep
  • Maintain digital filing systems and support internal processes and projects during low call-volume hours
  • Ensure clients are prepared for meetings by sending pre-meeting checklists, confirming attendance, and tracking follow-ups

Requirements

  • 1+ years of experience in a receptionist, front-desk, or customer support role
  • Bilingual fluency in English and Spanish (speaks and writes fluently)
  • Strong organizational and multitasking skills
  • Excellent phone etiquette and customer service mindset
  • Tech-savvy and comfortable using email, VoIP phone systems, and digital tools
  • Able to learn new platforms quickly and follow procedures with attention to detail
  • Must have own webcam, microphone, and computer
  • Excellent English verbal and written language proficiency (C1–C2 in CEFR Scale)
  • Access to a quiet work area at home with reliable internet (50 Mbps or more)
