About the role

  • Provide Executive Assistant support to a Managing Partner for the Health and Life Sciences Practice
  • Schedule high volume of meetings with senior-level executives and clients across multiple time-zones
  • Act as representative of Partners and Financial Services practice when corresponding with clients and senior-level executives
  • Prepare and edit documents for Partners and FS team
  • Arrange complex domestic and international travel and accommodations, prepare and process expense reports, and arrange visas
  • Coordinate logistics and catering for internal meetings
  • Coordinate practice meetings and off-sites including scheduling, logistical planning, preparing and circulating documents, taking meeting notes, and capturing and chasing action items
  • Handle event planning for dinners, town halls, and social events including venue/vendor selection, budget preparation, and logistics management
  • Assist with administrative projects and provide coverage/back-up support to other Executive Assistants supporting C-Level executives
  • Act as central figure in the FS practice to share information across the team and keep the team connected

Requirements

  • At least five years of experience working in an executive assistant role at the senior executive level
  • Experience in management consulting firm or similar industry is preferred, but not required
  • Experience with project coordination and capable of handling initiatives end to end
  • Advanced proficiency in Word, PowerPoint and Excel
  • Expert knowledge of Outlook
  • Strong knowledge of Salesforce; ability to create custom reports and slides
  • Problem solver; able to work with other teams and staff members effectively
  • Strong service focus and ability to secure effective relationships with clients
  • Excellent communicator and negotiator across a multicultural environment
  • Maturity, poise, judgment, and ability to maintain confidentiality
  • Ability to think strategically and contribute to departmental development
  • Receptive to constructive feedback and quick to incorporate it
  • Ability to manage heavy work volume and meet tight deadlines in a fast-paced environment
  • Self-starter with strong initiative and ability to work with little guidance
  • Collaborative team player with positive attitude and collegial approach
  • Ability to juggle several tasks, prioritize, and manage time; methodical and organized with excellent attention to detail
