Billing Specialist

• Coordinate with Pricing and Billing teams to onboard and maintain client portfolios on eBilling sites, including rate and budget submissions.
• Manage the submission process of billing rates to client platforms, ensuring their acceptance and accuracy of rates between Aderant and client billing platform.
• Manage client deadlines as required for budgets, monthly accruals and billing due dates.
• Work with Client Accounting Team to ensure ebills are prepared accurately and in accordance with client and eBilling vendor requirements.
• Ensure the timely and accurate submission of electronically billed invoices using BillBlast and other web-based eBilling vendor platforms.
• Track the status of submitted invoices and address issues in a timely manner.
• Work with Client Accounting Team and attorneys to resolve short payments, rejections, appeals and resubmissions, as needed.
• Accurately update submission files to ensure compliance with client and/or vendor requirements.
• Prepare appeals for rejected or short-paid invoices, ensuring compliance with each client's specific deadlines.
• Independently troubleshoot and resolve issues or collaborate with the Client Accounting team by providing detailed information for effective resolution.
• Actively monitor eBilling platforms for delays and escalate issues to Client Accounting team.
• Maintain documentation of all non-standard ebilling requirements and update the Client and Matter eBilling Instructions in Aderant and CET data base to ensure they remain current.
• Identify and implement process improvements to enhance the success rate of eBilling submissions.
• Utilize Aderant, BillBlast and eBilling platforms to assist team members with the collections process and reporting.
• Work with Cash Receipts staff to research and resolve misapplied payments, ensuring that unapplied cash/trust balances are kept to a minimum.
• Perform other related duties as assigned.

Business Development Rep

• Support partners in the management of their contact networks, including staying top-of-mind with key contacts and tracking and organizing the partners’ ongoing efforts.
• Manage and help maintain a database of current clients, prospective clients, referrals, marketing and sales activities.
• Help identify potential opportunities to introduce other practices to our scaling corporate clients.
• Be a trusted advisor for the leaders in your market(s) by bringing insights, leading practices, and creative thinking to support them in their business development efforts.
• Evaluate the quality of various entrepreneurial events/organizations to help focus partners’ efforts on such events/organizations.
• Coordinate and schedule business development, networking and other related activities and meetings.
• Attend and secure speaking engagements at such events and coordinate with partners attending in developing/evaluating leads on quality companies.
• Assist partners with the screening of certain unfunded start-up opportunities.
• Support in referrals of clients seeking funding (both funded and unfunded) to VC contacts.
• Directly participate in and train administrative assistants on social media (including Twitter and LinkedIn) to support partner reputation building and direct targeted communications to individuals and various network groups.
• Draft introductions, gratitude letters, reminders, confirmations, and other correspondence and emails.
• Act as an accountability resource for the partners to help them achieve the networking goals they set for themselves.
• Prepare research and marketing/sales materials for meetings with prospective clients.

• Capital Markets and Public Companies (required): Experience in IPO and public company matters, including registration statement numerical backup spreadsheets, beneficial ownership tables, '34 act, Section 16 reporting, Rule 144 and legend removal letters, transfer agent onboarding, stock exchange applications, FINRA filings, selling stockholder matters, closing documents, closing volumes and board resolutions and minutes.\n• Startup (required): Incorporating technology and life sciences companies, corporate records management, stock option plan implementation and administration, venture capital financings, blue sky research, Carta and Shareworks equity management.\n• Merges & Acquisitions (preferred): Collecting due diligence documents and organizing electronic data sites, performing diligence research and capitalization due diligence, coordinating shareholder mailings and regulatory filings, drafting and managing signing and closing documents, and preparing closing volumes.\n• The work schedule for this position will be 37.5 hours per week (non-exempt), Monday - Friday, from 9:00 am - 5:30 pm. The position can be based in any of our U.S. offices. This position offers a hybrid schedule and requires three days onsite per week at your designated office with the possibility of additional required in-office days depending on business and client needs.
