About the role

  • Manage the Broker/Owner’s calendar, appointments, and deadlines
  • Coordinate internal and external meetings, including training sessions, recruiting interviews, and client presentations
  • Prepare and organize documents, presentations, contracts, and reports
  • Track and follow up on key business initiatives and ensure tasks are completed on schedule
  • Assist with onboarding and recruiting new agents
  • Maintain staff schedules, ensure smooth communication across the team, and track performance benchmarks
  • Support in planning, scheduling, and coordinating training sessions, meetings, and company events
  • Serve as a point of contact for clients, ensuring professional communication and timely follow-ups
  • Manage marketing and listing coordination tasks, including preparing property marketing materials, scheduling photoshoots, and tracking campaigns
  • Maintain CRM systems and databases, keeping information accurate and updated
  • Support social media and marketing efforts, including scheduling content and assisting with campaigns
  • Coordinate email communications, newsletters, and event announcements
  • Handle confidential information with discretion
  • Anticipate the needs of the Broker/Owner and proactively solve problems
  • Provide flexible support across operations to ensure company efficiency

Requirements

  • Minimum 3–5 years of executive assistant or operations experience
  • Prior experience in real estate or a related industry is strongly preferred
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills (English B2 -C1)
  • Proficiency with Microsoft Office Suite, Google Workspace, and CRM systems
  • Experience with real estate platforms such as MLS, KVCore, or similar preferred
  • Detail-oriented, proactive, and able to work with minimal supervision
  • Professional demeanor, discretion, and a high level of confidentiality
