About the role
- Take end-to-end ownership of projects and technology initiatives, from design through implementation, adoption, and ongoing improvement
- Serve as a representative of the Legal department on enterprise-wide initiatives, collaborating with PMO, Finance, IT, Procurement, and other teams
- Lead process improvement projects from planning to execution, ensuring adoption and scalability
- Create, maintain and monitor project plans, including tasks, resources, risk mitigation, meetings and schedules
- Undertake project tasks as required
- Implement and maintain systems, processes and procedures that create efficiencies and consistency, including workflow management, document management, and knowledge management
- Drive department efforts to implement, configure, and roll out legal technology tools (e.g., CLM, e-billing, matter management, iManage)
- Support development of business cases for resourcing, scope, and budget estimates
- Evaluate and strategically adopt emerging legal technologies, including AI-driven platforms and automation tools
- Lead and improve monthly accruals and reconciliation process including data analytics and budget forecasting
- Review outside counsel invoices and ensure compliance with billing guidelines
- Assist with vendor management, including security reviews, onboarding, and user engagement
- Supervise, coach, and develop a two-person legal admin team, provide feedback and support professional growth
- Define and track team goals, roles, and performance metrics
- Support departmental change management activities (communications, training documentation, adoption strategies)
Requirements
- Bachelor’s degree or equivalent experience
- 3+ years’ experience in legal or compliance environment
- Legal operations experience is strongly preferred
- Demonstrated experience with project management, process improvement, or legal technology implementation
- Track record of managing outside counsel invoices and monthly accruals process
- Experience with e-billing and matter management systems (e.g. Legal Tracker)
- Strong analytical, problem-solving, and communication skills
- Highly detail-oriented; anticipate future needs, identify issues, and implement solutions
- Experience independently planning, organizing, and managing competing priorities and major projects
- Ability to supervise and develop people
- Intermediate to advanced proficiency in Microsoft Office 365 Suite (Excel, PowerPoint, Teams)
