Manage the HR inbox, ensuring timely and professional responses, and escalate queries to appropriate personnel as required.
Oversee HR administration including maintenance of employee records, databases, and ensuring records in Rippling remain up to date. Prepare and process HR documentation such as employment agreements, variations, and letters.
Conduct work authorisation/VEVO checks for new starters as required within system
Coordinate onboarding and offboarding processes, including IT and system access, induction scheduling, and accurate communication with payroll.
Support P&C Managers with bulk recruitment drives as required including shortlisting candidates, coordinating group interviews and declines
Support P&C Managers with the tracking and completion of learning and development and training modules and safety/compliance training
Coordinate HQ office operations, including repairs, scheduled maintenance, and supplier management to ensure a safe and well-maintained workspace.
Conduct weekly suppliers/grocery orders for HQ and ensure office remains well stocked
Manage purchase orders across departments, ensuring appropriate approvals, tracking, and ensuring appropriate invoice documentation.
Assist with planning and delivering HQ and company-wide events (e.g. celebrations, culture & engagement initiatives, leadership/team meetings, training days).
Organise travel arrangements for employees, including accommodation, flights, and itineraries via Pulse travel as required. Be a key point for Pulse Travel team with troubleshooting and support.
Partner with People & Culture Managers to deliver employee engagement activities and events, sourcing cost-effective vendors and services.
Support HR projects with HR Director/P&C Managers including performance reviews, surveys, and system implementations, ensuring deadlines and quality standards are met.
Provide proactive assistance on ad hoc HR and office coordination projects as required
Offer proactive support and assistance for ad hoc HR projects, demonstrating flexibility and readiness to contribute to various initiatives outside regular responsibilities, ensuring timely and efficient project completion
Requirements
Prior experience within the Human Resources, office administration/Coordination, customer experience or leadership position highly desirable
Excellent verbal and written communication skills with the ability to effectively interact with employees, managers and external stakeholders
Strong organizational skills and attention to detail
Strong understanding of confidentiality and ability to adhere to privacy legislation and protect sensitive employee information
Strong customer service and drive to build positive relationships with all stakeholders
Strong level of computer and systems literacy including Microsoft Office Suite, HRIS and data management/reporting
