About the role

  • Act as primary point of contact for high-ticket customers, handling inquiries about their journey, access to resources, and payment plans
  • Respond to inquiries in GoHighLevel and Gmail about logins, trainings, and real estate deals
  • Proactively engage with customers to ensure progress through the coaching program and provide support
  • Onboard new customers, ensuring setup for calls and access to purchased materials
  • Exhibit discretion and professionalism when handling sensitive client information
  • Manage calendar and scheduling for live training calls, events, and coaching sessions
  • Prepare, launch, and manage live events on Zoom, handling assets and technical logistics for up to 1,000 attendees
  • Maintain accurate records and organized systems using CRM platforms and standard admin tools
  • Handle client correspondence via email and SMS, ensuring professional and timely communication
  • Adjust and maintain calendar schedules to reflect client needs and ensure smooth workflow
  • Create, update, and maintain workflows in Asana and document SOPs
  • Post pre-prepared social media content and support social media tasks
  • Participate in daily 10 AM (EST) meetings and occasional ad-hoc meetings

Requirements

  • Proven experience in a customer-facing role within a service-based, digital, or coaching business (at least 3 years as Customer Success Manager or similar role)
  • Strong understanding of customer journey principles and ability to proactively guide clients toward success
  • Working knowledge of CRM platforms (GoHighLevel, HubSpot, Salesforce)
  • Experience with project management tools (Asana, ClickUp)
  • Proficient with Zoom, Google Suite (Calendar, Docs, Sheets, Drive), and standard office software
  • Highly organized, detail-oriented, and resourceful with an autonomous work ethic
  • Positive, productive, and low-drama attitude
  • Discretion and trustworthiness when handling sensitive client information
  • Excellent people skills with ability to build rapport and communicate professionally
  • Strong English communication skills and high emotional intelligence
  • Availability for EST-aligned meetings (daily 10 AM EST meetings) and U.S. timezone hours
  • Ability to manage fluctuating workload (could range from 30 to over 60 hours during key events)
  • Comfortable being an independent contractor
