About the role

  • Maintain accurate data entry and reconciliation in QuickBooks
  • Track Accounts Payable and Accounts Receivable; follow up on overdue balances
  • Prepare and distribute weekly cash flow forecasts and profit & loss (P&L) reports
  • Align job costs with budgets and oversee vendor/material purchasing processes
  • Develop and maintain financial reporting dashboards for leadership
  • Oversee payroll compliance and coordinate payroll processing
  • Manage onboarding and offboarding processes for staff
  • Ensure licenses and insurance policies are renewed and in compliance
  • Maintain employee records and HR compliance documentation
  • Administer job schedules and coordinate project timelines
  • Maintain organized contract files for vendors, subcontractors, and clients
  • Track insurance certificates, licenses, and compliance deadlines
  • Support leadership with contract and insurance compliance requirements
  • Allocate ~10 hours/week to strategic initiatives: build dashboards and improve processes
  • Communicate with leadership and team members during normal business hours
  • Provide ad-hoc leadership support focused on operations and compliance
  • Perform all services remotely in alignment with client scope of work and SOPs

Requirements

  • 3–5 years of experience in financial reporting, project/job-costing, and administration — ideally in a construction or project-driven environment
  • Strong understanding of accounting principles, HR processes, payroll compliance, and operational workflows
  • Highly organized, detail-oriented, and able to manage multiple priorities effectively
  • Proven ability to create dashboards and implement process improvements for leadership visibility
  • Proactive, solution-oriented mindset and ability to work independently while supporting a team
  • Proficient in QuickBooks (mandatory)
  • Proficient in Microsoft Suite (Excel, Outlook, Planner, Word)
  • Experience with HRIS systems (preferred but not required)
  • Strong English communication skills (verbal and written)
  • Reliable internet connection and secure remote work environment
  • Ability to follow client-supplied SOPs, timelines, and service expectations
  • Willingness to work EST business hours and align schedule with US clients
  • Independent contractor status (this is not an offer of employment)
