About the role

  • Submit a detailed daily report summarizing clinic activities.
  • Track and report number of patients scheduled (with names), memberships obtained (with names), renewals, and total income collected for the day.
  • Serve as the lead on phones, ensuring professional and friendly communication.
  • Handle patient check-outs daily and maintain accurate patient status tracking.
  • Review the schedule at least two days in advance to anticipate needs.
  • Add and manage appointments, process rescheduling requests, and send emails/texts regarding memberships and renewals.
  • Collect payments for memberships and renewal programs/visits and support financial tracking.
  • Support and oversee tasks related to Medical Assistant (MA) and personal administrative functions.
  • Follow client SOPs, timelines, and service expectations; perform all services remotely.

Requirements

  • Previous experience as a Virtual Assistant or in a similar administrative role.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication.
  • Comfortable with scheduling systems, patient management, and payment collections.
  • Detail-oriented, reliable, and self-motivated.
  • Female candidates.
  • Ability to follow client-supplied SOPs, timelines, and service expectations.
  • Experience with phone triage, patient check-outs, and financial tracking.
  • Availability Monday-Friday aligned with US Eastern Time (office hours).
  • Weekly service hours vary; example 35 hours/week.
  • Must operate as an independent contractor; offshore contractors preferred.
