Executive Assistant

• Assist in management of senior management calendars and activities.
• Provide assistance in development of agendas, presentation materials, meeting deliverables and follow-up items.

Executive Assistant – Marketing

• Provides administrative support to the VP/GM which includes scheduling, managing calendars, processing of correspondence, managing supplies and specially assigned projects
• The ability to schedule domestic and international trips – includes developing complex itineraries and reservations.
• Prepares all expense reports for VP/GM.
• Schedules meetings and conferences, as well as anticipates and prepares material and agendas required
• Welcomes guests by greeting them, in person or on the telephone; answering or directing inquires.
• Updates correct point person on correspondence critical to their department.
• Arrange for hotel and car service for traveling visitors/employees.
• Arrange for onsite luncheons for meetings.
• Review, code and input invoices for processing.
• Updates HR organizational charts & Outlook distribution lists.
• Updates Facilities floor plan & coordinates evacuation rosters & training.
• Special projects as assigned.

• Answering phone calls and responding to inquiries from patients/residents, outlying facilities or providers about healthcare programs and services or request of transferring patients into a facility.
• Depending on the department, may provide support to RN or physician staff or receiving and dispatching correspondence for designated unit.
• Assisting with administrative tasks, such as ordering supplies and scheduling.
• Collaborating to create and maintain a clean environment within healthcare facilities.
• Depending on department, direct patient contact will vary. Primary duties will vary by department.

Unit Secretary – Evenings

• Provides a broad variety of administrative and staff support services for an assigned group or manager
• Collects and interprets data to produce reports
• Conducts special projects
• Coordinates meetings, conferences, presentations and travel arrangements
• Composes correspondence and other documentation as needed
• Frequently uses personal computer software packages for word processing, graphics, spread sheets, etc.
• Specific job duties vary by area

• Primarily supporting the Front Desk and performing scheduling / care coordinator duties in the evening hours or as time permits throughout the day.
• Primary support of Front Desk for all departments and providers housed at the CCD - perform all check-in, patient registration, and checkout duties; assist with insurance questions and issues if they arise.
• Scheduling and Care Coordination support for the Autism, School Assessment, and MET teams to be performed during the evening hours after center closes but while patients are still on-site.
• This includes sending messages and letters via MyChart or email (if no MyChart), outreach calls to family to obtain necessary documents needed for evaluation, patient group administrative duties, scheduling and reschedules, etc.
• Support special projects and patient events.
• Provides clerical support for ambulatory clinic. Coordinates appointments, schedules services as ordered by providers and acts as a receptionist and a resource person for the office.
• Answers general questions related to the scheduling process and clinic services and completes follow-up scheduling as necessary.
• Answers and appropriately handles all incoming calls to the office. Enters scheduling related data into computer system (Epic) as indicated.

Medical Support Secretary

• Provide comprehensive administrative and staff support to the National Director of Healthcare Business Banking, supporting day-to-day operations and longer-term business priorities
• Manage complex calendars, meetings, conferences, and presentations involving senior leaders, internal partners, and external stakeholders
• Coordinate domestic travel arrangements, logistics, and expense reporting with accuracy and attention to detail
• Draft, edit, and format correspondence, reports, and presentation materials to a high professional standard
• Collect, interpret, and organize information and data to support reporting, business reviews, and special initiatives
• Support special projects that require coordination across multiple stakeholders, exercising sound judgment and follow-through
• Anticipate leadership needs, identify potential issues, and resolve routine matters independently to enhance executive effectiveness
• Handle confidential and sensitive information with discretion, professionalism, and integrity
• Serve as a reliable point of coordination across the Healthcare Business Banking leadership team and broader organization, adapting priorities as needed while maintaining accuracy and composure

Healthcare Business Banking Executive Assistant

• Support the VP or SVP(s) with schedules, telephone, email, filing and document organization, meeting preparation and follow up
• Prepare presentations, presentation slides and documents, and presentation support materials
• Maintain positive communications and rapport throughout the organization
• Assist VP or SVP(s) in ensuring enterprise-wide adherence to policies, procedures, compliance regulations, and other processes
• Assist all management and employees as a resource in areas of responsibility
• Organize and maintain a central corporate repository of documents and files
• Deal with multiple tasks daily, including prioritization and successful execution/resolution
• Prepare agenda and compile minutes as required for leadership meetings
• Conduct projects and participate in team activities to identify problems and improve work processes and systems
• Other duties as assigned
