• Support planning and logistics for roundtables, coordinating speakers, materials, educational and outreach materials, and event branding to ensure seamless execution.

Event Coordinator

• Lead planning and execution of annual Section, Chapter, leadership, and webinar events.
• Manage registration, sponsorship fulfillment, and mobile app execution for all Section and Chapter events.
• Serve as primary contact administering all hotel, convention center, venue, audiovisual, catering, and vendor contracts, ensuring compliance with organizational standards and risk management requirements.

• Monitor event budgets, sponsorship tracking, and financial reconciliation processes.
• Manage sponsorship fulfillment, invoicing, exhibitor logistics, and onsite sponsor experience.
• Ensure accurate financial documentation and adherence to organizational financial policies.
• Maintain accurate chapter and event financial data within organizational systems.
• Assist with communications, training materials, and operational resources for chapter leaders.
• Support planning and facilitation of volunteer meetings, webinars, and training sessions.
• Provide general operational and administrative support to the Membership & Volunteer Engagement team.

• Lead across the organization to encourage and strengthen a member and customer-service-focused organizational culture. Serve as a knowledgeable resource about strategies and tactics for exemplary volunteer management and support. Proactively lead discussions and collaborations to improve volunteer success and staff support. Promote a positive work environment for all staff and collaborate effectively with the leadership team.

Senior Manager – Section & Chapter Events

• Support the Advocacy team in the planning and execution of events and meetings
• Coordinate event logistics, including timelines, budgets, venues, food and beverage, equipment, contracts, speakers, entertainment, travel, and other operational requirements
• Manage logistical and administrative components of event invitations and tracking
• Represent the organization onsite at many Advocacy events (including in-prison events), monitor event execution, resolve common issues, and escalate more complex matters to the supervisor

Advocacy Events Specialist

• Manage all aspects of catering sales and event production including inquiries, site visits, client meetings, tastings, proposal development, contract execution, and payment confirmation
• Design and sell corporate and social catering events with a consultative, client focused approach
• Accurately build catering proposals, menus, timelines, and event details to secure business

• Under the supervision of the Executive Director, plans and executes various mid- and high-level events in support of the University’s mission
• Creates and manages event budgets, produces timelines, and works with the event sponsors on all aspects of the program
• Manages and assists on an array of events including conferences, symposia, faculty events, Capitol Campus events, Law Reunion and Commencement and a wide variety of receptions, dinners and special events.
• Reports directly to the Executive Director, Capitol Campus Event Management & Scheduling.
• Works closely with other members of the events and scheduling team and supports other members as needed under the direction of the Executive Director.

• Oversee the development and execution of the organization’s state and local advocacy agenda.
• Direct GHAI’s strategy on state overdose prevention policy.
• Manage the day-to-day work and long-term strategy for state advocacy on overdose prevention; represent the department with state-based stakeholders.
• Oversee the work of Regional Campaign Managers.
• Direct and coordinate the work of the overdose prevention state advocacy team with other departments to integrate strategies and activities.
• Lead coordination with partner organizations on state issues, including public health groups and others interested in substance use and overdose prevention.

• Provide clerical and administrative support for the GHAI Overdose Prevention Initiative.
• Process and track invoices, vendor payments, contract and expense reporting.
• Organize logistics for in-state and D.C. based meetings and events which includes making travel arrangements, securing travel visas and managing invitations.
• Manage the schedule for the AVP of Overdose Prevention.

Operations Associate, Overdose Prevention Initiative

• Partner closely with the Creative Director to push creative boundaries while ensuring consistency, clarity, and sophistication across all event executions
• Help drive the creative vision for McDermott events, developing overarching concepts and narratives that unify digital, environmental, and experiential elements into a seamless attendee journey
• Design immersive, ownable experiences that transform venues into branded environments aligned with McDermott’s brand standards, business priorities, and audience expectations
• Translate high-level themes and messaging into scalable creative systems that work across event sizes, formats, and geographies
• Oversee the design of digital event assets, including email campaigns, event registration websites, and social graphics, ensuring cohesion across all pre-event marketing channels

• Helping the Promotions manager plan and execute promotional schedules.

Suicide Prevention and Leadership Subject Matter Expert, Facilitator

• Collaborate with event team colleagues, as well as work independently, to manage the execution of third party events.
• Execution consisting of planning, implementation, and post-event logistics for in-person third-party events.
• Willingness to develop an in-depth knowledge of technology and open source communities with the intention of helping to distill complex knowledge into simplified, accessible content for general audiences
