About the role
Key responsibilities & impact- Lead planning and execution of annual Section, Chapter, leadership, and webinar events.
- Manage registration, sponsorship fulfillment, and mobile app execution for all Section and Chapter events.
- Serve as primary contact administering all hotel, convention center, venue, audiovisual, catering, and vendor contracts, ensuring compliance with organizational standards and risk management requirements.
- Provide operational leadership for event logistics, including venue management, food and beverage, audiovisual needs, signage, room setups, and attendee experience.
- Partner with external vendors and sourcing agencies to identify and secure hotels and conference venues.
- Manage multiple concurrent event project plans, timelines, deliverables, and cross-functional teams.
- Provide onsite event management support for conferences and meetings as needed.
- Develop and implement event timelines, project plans, and operational procedures.
- Monitor event performance metrics and recommend improvements based on industry standards and attendee feedback.
- Apply best practices from PCMA and leading membership associations to enhance event operations and participant experience.
- Serve as the operational contact for Section and Chapter events, resolving day-to-day questions and escalating strategic or governance issues to the Director as appropriate.
- Monitor compliance with organizational bylaws, policies, reporting requirements, and governance standards.
- Assist volunteer leaders with event planning, member engagement strategies, and operational best practices.
- Maintain accurate records of chapter leadership, activities, event documentation, and organizational compliance.
- Foster strong relationships with volunteer leaders to support engagement, retention, and leadership development.
- Process Section and Chapter financial transactions in coordination with the AWHONN Finance team.
- Develop streamlined financial workflows to reduce administrative burden for Section Secretary/Treasurers.
- Prepare monthly and quarterly financial reports for internal leadership review and chapter distribution.
- Monitor event budgets, sponsorship tracking, and financial reconciliation processes.
- Manage sponsorship fulfillment, invoicing, exhibitor logistics, and onsite sponsor experience.
- Ensure accurate financial documentation and adherence to organizational financial policies.
- Maintain accurate chapter and event financial data within organizational systems.
- Assist with communications, training materials, and operational resources for chapter leaders.
- Support planning and facilitation of volunteer meetings, webinars, and training sessions.
- Provide general operational and administrative support to the Membership & Volunteer Engagement team.
- Other duties as required by business needs.
- Lead across the organization to encourage and strengthen a member and customer-service-focused organizational culture. Serve as a knowledgeable resource about strategies and tactics for exemplary volunteer management and support. Proactively lead discussions and collaborations to improve volunteer success and staff support. Promote a positive work environment for all staff and collaborate effectively with the leadership team.
Requirements
What you’ll need- Bachelor’s degree in hospitality management, Event Management, Business Administration, Communications, or related field preferred.
- 5-8+ years of progressively responsible experience in association event management, conference planning, or membership organization operations.
- Experience managing multi-event portfolios and volunteer-led programs.
- Knowledge of PCMA standards and association meeting best practices preferred. CMP preferred.
- Experience with sponsorship management and event revenue coordination.
- Familiarity with event registration platforms, mobile event apps, and association management systems (AMS).
- Willingness to travel and provide onsite event support as needed.
- Demonstrated commitment to excellent customer service and willingness and ability to work in a collaborative team environment. Ability to motivate a wide range of people.
- Strong organizational and project management skills, including demonstrated ability to juggle multiple priorities and tasks, and ability to administer approved budgets.
- Must be able to lift up to 30 lbs.
