Accounts Receivable

• Ensure tracking of payments from Agencies and follow up in case of delays
• Produce reporting and aging for management on Agency payments
• Manage the company’s escheatment process.
• Maintain up to date process documentation about own area of responsibility
• Be the primary point of contact for internal Agency-related queries
• Manage process documentation for all responsibilities
• Assist the Payments team with daily processing tasks related to Customers or IBOs as required. This may include payments allocations, refunds, re-runs, escalations
• Manage the relationship with merchant services team (Cybersource, Elavon, etc.)
• Proactive in reviewing and improving existing processes, flag issues, implement new procedures and work on automation of tasks to improve efficiency
• Respond efficiently to chargebacks across multiple business units
• Other duties as assigned by the Manager

Accounts Receivable and Payments Analyst

• Monitor and manage a portfolio of overdue accounts to ensure timely payments and reduce outstanding balances.
• Contact clients by phone, email, or letter to follow up on overdue invoices and negotiate payment terms.
• Investigate payment discrepancies, resolve billing issues, and work with clients to ensure proper payment processing.
• Maintain accurate and up-to-date records of all communications, payment agreements, and collection activities.
• Prepare regular reports on outstanding balances, payment statuses, and collection efforts for management review.
• Work closely with the finance and sales teams to ensure that customer accounts are properly handled and reconciled.
• Escalate delinquent accounts to legal or third-party collections agencies, if necessary, while ensuring compliance with applicable regulations.
• Send out invoices to customers in a timely manner.
• Process incoming payments via check, credit card, wire transfer, or electronic payment systems.
• Reconcile accounts receivable records, investigate discrepancies, and adjust entries as needed.
• Perform other tasks as requested by Leadership.

• Responsible for all aspects of insurance follow-up and collections, including making telephone calls, accessing payer websites.
• Identify root cause issues for denials; categorize denial reasons and coordinate with clinic and/or with management to ensure process improvements are completed.
• Owns performance and ensures consistent and timely communication for issues identified affecting reimbursement.
• Effectively resolve complex or aged inventory, including payment research, payment recoups with minimal or no assistance necessary; accurately and thoroughly document the pertinent collection activity performed.
• Review the account information and necessary system applications to determine the next appropriate work activity.
• Verify claims adjudication utilizing appropriate resources and applications.
• Edit claims to meet and satisfy billing compliance guidelines for electronic submission.
• Manage and maintain individual work list/inventory, complete reports, and resolve high priority and aged inventory.
• Stay informed of changes with the procedures and laws for the specific insurance carriers or payers.
• Effectively communicate issues to management, including payer, system or escalated account issues as well as develop solutions.

AR Specialist

• Responsible for ensuring timely payment of invoices and timely resolution of deductions on open accounts for the Consumer Division accounts.
• Researches and denies shortage claims providing copies of shipping documents, BOLS, and PODs to customers.
• Researches shipping fines providing necessary back up and reports issues to management.
• Manages and reports on CPI related deductions and clears approved deductions to GL upon approval.
• Handles incoming call from customers on phone loop.
• Researches and resolves disputes taken by customers for pricing and other issues.
• Interacts with sales and customer service on status of accounts and any issues requiring action.
• Coordinates reports on AR balances for management.
• Monitors and researches payment issues.

• Process and post electronic remittance from all assigned payers within the expected Turnaround Time
• Meet weekly and monthly production goals after training
• Research payer websites to obtain posting backup
• Identify issues and trends with assigned payers
• Ensure aged account receivables are handled according to Standard Operating Procedure
• Communicate with leadership and partner teams to ensure accurate and timely processing of remittance

Accounts Receivable Specialist I

• Ensure strict HIPAA-compliant confidentiality with all client-related data
• Review customer account reports and follow up to ensure any flags/concerns are notated proactively and communicated to the Customer Billing Advocate (CBA)
• Review A/R Aging Reports and follow up with insurance companies regarding expected reimbursement for outstanding claims
• Notate & document all follow up work on aging claims within A/R Aging Reports as required and documented in standard SOPs
• Meet expectations on deadlines for completion of A/R Aging Reports for each customer supported within POD
• Follow up on denials immediately and communicate any trends to CBA
• Follow up on any open A/R tickets in Salesforce as assigned by CBA
• Meet deadlines assigned for A/R work as assigned by CBA
• Utilize denial management platforms for submission of appeals, reconsideration requests, etc.
• Research specific payor billing rules as needed
• Follow up on claims submitted electronically for primary and secondary payors
• Submit corrected claims when needed
• Attend POD meetings and contribute to agenda items as designated by CBA
• Post payments or submit missing payments to posting team and maintain A/R as assigned
• File appeals to insurance and to insurance commissioner as needed
• Stay informed about Payor and Industry Billing rules
• Review & interpret payor contracts when applicable
• Measure and monitor key metrics related to work performance
• Attend customer meetings as needed with CBA
• Work to meet POD goals collectively as cohesive team
• Foster a positive work environment for colleagues

• Responsible for being the subject matter expert of specific payers staying up to date on their claims process and coding requirements
• Review and resolve outstanding or pending insurance claims and account balances directly with payer; frequent follow up with payers using telephone, fax, email, and specific payer websites
• Resolve claim rejections in Realmed/Availity
• Process insurance correspondence as assigned
• Research any credit balances and if appropriate, send to refund department for processing
• Update and track payer guidelines to educate company on any changes
• Assist Patient Services with any statement request, itemized bills or other research as needed
• Maintain company production and QA standards
• Perform other related duties as assigned
