Accounts Payable

• Process a high volume of vendor invoices accurately, efficiently, and according to budget.
• Match invoices to purchase orders and supporting documentation, ensuring proper approvals are obtained.
• Prepare and process payments via ACH, wire transfers, checks, and employee expense reimbursements.
• Reconcile vendor statements and investigate discrepancies, resolving issues in a timely manner.
• Respond to vendor inquiries regarding invoices and payment status.
• Maintain accurate vendor records, including W-9/W-8 forms, VAT information, banking details, and 1099 documentation.
• Assist with monthly AP reconciliations, including vendor balances, accruals, and prepaid expenses.
• Ensure expenses are coded to the appropriate general ledger accounts.
• Maintain organized AP files and supporting documentation.
• Coordinate with Operations to resolve quantity or pricing discrepancies.

Accounts Payable Specialist

General

• Maintain organized project trackers, account documents, purchase order records, follow-up notes, and client-specific process documentation
• Support client and internal status updates by gathering information from suppliers and internal teams, preparing meeting notes, and flagging missing information or next steps
• Assist with PO conversion and supplier handoff after requirements, pricing, and timelines have been reviewed and approved by the manager
• Follow up with suppliers and factories on production status, estimated completion dates, sample progress, and upcoming milestone requirements

• Work closely with the Art Team and Creative + Development Team to understand project requirements and specifications
• Prepare printer-ready files for various packaging materials, including labels, folding cartons, rigid boxes, belly bands, corrugated cartons, influencer
• Evaluate client assets to make sure provided logos, illustrations and artwork are high-quality, and communicate to Development and Creative partners when updated assets are needed
• Optimize files for printing, ensuring they meet industry standards and our clients' specifications
• Display high level of accuracy and attention to details in artwork delivery
• Review design files for accuracy, consistency, and adherence to brand guidelines
• Conduct pre-press checks to identify and rectify any issues related to color accuracy, image resolution, and fonts
• Ability to relentlessly collaborate as well as work independently on several different projects at once
• Manage version control and file organization to ensure efficient production workflows
• Exercise judgment and project management skills, both personally and with team members, to balance priorities and communicate to teams to meet and exceed project deadlines and commitment

• Proactively manage all new client briefs through production.
• Efficiently manage all daily external client communication relating to active briefs through production.
• Coordinate and manage all internal communications related to client activity, collaborating with development, creative, and production teams to ensure timely updates and alignment.
• Lead the project management of all internal partners to respect Twelve’s expected response times and client’s ASLs.
• Track and cultivate new business activity, regularly engaging with prospective clients to develop partnerships and identify growth opportunities, and providing weekly status updates to stakeholders.
• Continuously nurture and strengthen new business relationships to secure long-term partnerships through in-person meetings, calls, and consistent follow-ups.
• Define and implement tailored client strategies to identify opportunities for growth, address client-specific challenges, and exceed sales and account targets.
