Bookkeeper

• Sentry Management is an industry leader in full-service community association management. We are currently seeking a Dedicated Service Coordinator, Accounts Payable for our Home Office in the Orlando area. The Dedicated Service Coordinator is responsible for supporting an assigned division through completing the department's functions. This role is a specialized position focusing on internal customer service to maintain a high level of satisfaction. This position will work cross-functionally with regional and local leaders as well as home office support teams and will coordinate with those teams as required. The purpose of this position is to provide strategic operational support, feedback, direction, and guidance to the team and divisions that they support. Hours: 10:30 am - 7:00 pm - Monday - Friday Responsibilities Include: Attend to internal customer service issues and ensure effective and long-term problem resolution. Perform assignments associated with department projects as directed by Sentry’s leadership team. Support divisions retention efforts by completing tasks and coordinating resolution. First level support for division issues, coordinate the participation of required staff to resolve disputes by troubleshooting customer needs. Utilize knowledge and understanding of Customer Service basics as well as communication skills and problem resolution. Assist in identifying ways of improving efficiency to streamline processes and enhance the customers' experience. Single point of contact for the region – triages all issues brought to them, acknowledges receipt, researches and engages others across the assigned department as needed and provides status updates based on the service level agreement.

Service Coordinator – Accounts Payable

General

• Understands each function in the department.
• Understands the full process flow including the downstream and upstream and understands how their department interacts with other departments within Association Accounting Services.
• Collaborate with other regional DSCs to improve service and participate on regional calls as requested.
• During peak times, keeps the department manager informed so that additional resources can be engaged as needed.
• Sets the example for engagement in and encourages the use of technology – CommunityPro®, Outlook features like Quick Parts and Signatures, Excel.
• Documents department procedures.
• Reviews the department procedures in the Resource Manual, recommends updates to Manager.
• Upholds our Service Standard: “In every interaction, kindness, professionalism and timely resolution”
• Continuous Process Improvement - Look for trends or repeat issues and propose solutions to the department manager
• Responds to and resolves requests in a timely manner.
• Other duties as assigned

• Attend, prepare for, and participate in annual and general meetings
• Manage vendor proposals and contracts, risk management, insurance, maintenance, and architectural requests and approvals
• Coordinate employees such as janitorial, maintenance, administrative, and others
• Collect all invoices and code for payment, and follow up on monthly assessments due
• Serve as liaison between association boards and legal counsel
• Prepare manager reports and financial summaries for the boards
• Manage the onboarding and exit of associations

Community Association Manager – Portfolio

Business Development Rep

• Responsible for annual new business goals for assigned territory.
• Responsible for assisting in new lead generation along with making cold/warm calls
• Understand and take action on customer needs
• Make sales presentations to board members and homeowners
• Manage sales lead database
• Respond to and successfully handle any new business inquiries as quickly as possible
• As assigned, situationally work with division and/or home office resources to save and cure existing Most at Risk identified communities.

Business Development Manager

Financial Planning and Analysis

• Prepare and enter general ledger journal entries, ensuring proper coding, and appropriate accruals are in place
• Verify entries posted by corresponding departments
• Ensure all entries are done in accordance with GAAP and AICPA standards
• Prepare a minimum of 70-75 financial statements monthly per time mandated schedules
• Adhere to internal controls Core Values, Company Promises, and Service Level Commitments
• Adhere to policies and procedures as they relate to financial activities
• Key/Approve annual budgets prepared by Community Managers
• Collaborate and communicate with Community Managers regarding financial statements
• Perform other tasks at the direction of leadership
