Executive Support Manage complex calendars, including scheduling meetings across time zones Prioritize and organize daily tasks and communications for the Executive Director Prepare meeting agendas, take detailed minutes, and follow up on action items Coordinate travel arrangements and logistics as needed -Communication & Coordination Serve as a liaison between the Executive Director and internal/external stakeholders Draft and proofread emails, letters, presentations, and reports Monitor and manage executive email inboxes, flagging urgent or time-sensitive matters -Administrative Operations Maintain organized digital filing systems using Google Drive or Dropbox Track deadlines, school events, board meetings, and administrative workflows Support HR or finance tasks such as invoice tracking, timesheets, or contract management (as needed) Assist in planning and executing virtual or in-person events and leadership retreats -Other Duties Provide high-level administrative support to other senior team members when necessary Uphold confidentiality in all communications and data handling Adapt to changing priorities and needs of the leadership team
Requirements
3+ years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role (nonprofit or education experience preferred)
Exceptional written and verbal communication skills
Strong organizational skills with the ability to multitask and prioritize effectively
Tech-savvy and highly proficient in: Google Workspace (Docs, Sheets, Calendar, Meet)
