About the role

  • Provide administrative and operational support to founders to ensure smooth business operations.
  • Manage founders' calendars, schedule meetings, and coordinate travel arrangements.
  • Review telecom and technology invoices to identify potential cost savings, service inefficiencies, and contract optimization opportunities.
  • Enter and maintain data in Zoho CRM, ensuring accurate reporting of sales activity, quote status, and client interactions.
  • Track invites, RSVPs, and follow-ups for marketing events, including post-event outreach and CRM updates.
  • Monitor open quote requests from vendor partners, ensure timely responses, and update CRM records.
  • Draft and schedule posts for company and leadership LinkedIn accounts to support brand and marketing campaigns.
  • Help manage leadership inboxes, flagging urgent items, routing requests, and following up where needed.
  • Support client-facing and internal tasks to free up founders' time and enable focus on sales and business growth.
  • Work flexibly in a fast-paced, dynamic environment and collaborate as a key partner in the organization.

Requirements

  • Proven experience in administrative or virtual assistant roles.
  • Strong skills in bill analysis.
  • Strong skills in CRM data entry and management.
  • Strong skills in event coordination.
  • Strong skills in LinkedIn content management.
  • Strong skills in email monitoring and organization.
  • Proficiency with Zoho CRM.
  • Proficiency with Microsoft 365.
  • Proficiency with LinkedIn.
  • Proficiency with Zoom.
  • Excellent organizational and communication skills.
  • High attention to detail and ability to multitask effectively.
  • Demonstrated ability to work independently and take ownership of tasks.
  • Can adapt to changing priorities and handle a variety of tasks with a positive attitude.
  • Familiarity with reviewing invoices and identifying discrepancies.
  • Experience supporting sales or marketing activities.
  • Prior exposure to telecom or technology services (not required, but a plus).
  • Ability to learn new tools and processes quickly.
