Oversee the planning, coordination, and execution of a diverse range of events across OpenAI’s New York office and regional East Coast offices
Contribute to the operationalization of the Events & Experience program processes, building and running processes for event intake, booking/scheduling, tooling, and stakeholder communication
Oversee on-the-ground event logistics, including vendor management, event production oversight, and real-time problem-solving
Serve as a conduit to critical workplace support teams such as catering, AV, facilities, and corporate security, and collaborate with design, procurement, communications, and marketing
Manage budgets and timelines for events
Develop event success tracking through participant feedback and other relevant metrics and make data-driven recommendations for future improvements
Partner with cross-functional teams across the company to build and support a wide variety of internal and external facing events
Produce impactful events at scale and support event execution in-office (occasional evening work as needed)
Requirements
6+ years of event management experience or, ideally in a workplace/employee experience team
Strong organizational and project management skills, with a proven ability to juggle multiple events simultaneously
Proactive self-starter with experience working in face-paced, high growth companies
Ability to roll up your sleeves and execute operational tasks while planning for future program scaling
Excellent communication and interpersonal skills for working with team members and leaders at all levels
Creative thinker with a keen eye for detail and a commitment to delivering high-quality, memorable events
Ability to travel up to 15% of the time supporting events across other offices
Comfortable working with tools such as Jira, Google docs/calendar, Notion; familiarity with event management tools such as Prismm and Swoogo a plus
Experience managing vendors, budgets, timelines, and event production logistics
