About the role

  • Support multiple Partners and Directors who are out in the field delivering projects and leading project teams
  • Join the Cluster Support Team of Senior Personal Assistants providing tactical and efficient support
  • Fixed Term Contract covering maternity leave for twelve months, based at Head Office in Kingston Bagpuize, Oxfordshire
  • Work two days in the office and three days from home
  • Work closely with the wider Executive Support function to provide effective support to multiple stakeholders
  • Manage and maintain multiple diaries
  • Schedule internal and external meetings/events of varying sizes (appraisals, client reviews, project reviews, board meetings, interviews, team meetings, third-party advisers)
  • Coordinate and book complex travel and accommodation requirements
  • Provide ad-hoc project team support on working location, events, and consolidation of travel
  • Provide holiday cover for other Senior Personal Assistants
  • Perform ad-hoc administrative tasks as needed
  • Submit timecard and expenses in a timely manner
  • Ensure Stakeholders are aware of important tasks and deadlines and need to action them
  • Manage databases and filing system, including OneView Contacts Management System
  • Drive and share best practice in supporting senior people across the business

Requirements

  • At least 2 years of demonstrable experience in a Personal / Executive Assistant role supporting multiple people
  • Experience of diary management, coordinating/booking and managing high volumes of activities, in particular travel and accommodation
  • Ability to think ahead and anticipate needs before they arise
  • Methodical coordination skills and logical thinking
  • Exceptional organisational skills: ability to multi-task and organise others
  • Excellent oral and written communication skills, with the ability to work and communicate effectively within a team
  • Experience working within a high-paced environment, remaining calm under pressure, adaptable and responsive to changing challenges and priorities
  • Excellent use of Outlook, Word, Excel, and PowerPoint
