About the role

  • Presale support: monitor vendor special pricing registration, organize proposal documents, create and maintain sales opportunities, create and price Q360 quotes.
  • Review and audit Q360 quotes for accuracy and push new job IDs.
  • Participate in project meetings with Project Manager, Project Engineer, Buyer, and project team members.
  • Create, organize, file, and share project folders and documentation.
  • Support Project Manager to set up WBS and create Time bill tasks in Q360 ERP System.
  • Coordinate procurement with project team and vendors to secure on-time equipment/material deliveries.
  • Create and maintain inventory sheets and provide periodic reports.
  • Assist Project Manager with Change Order process: track changes, price Change Orders, produce client-facing Change Orders, and handle Change Order procurement.
  • Maintain and track project Bill of Materials (BOM) throughout project lifecycle.
  • Provide regular reports: Lead Time report, ETA report, Back Order report, RMA report, etc., and facilitate the overall project RMA process.
  • Work with Project Manager and Finance Manager to understand and monitor project budgets in ERP system.
  • Request project billing and create backup documentation.
  • Project close-out: compile submittals, generate net equipment and serial number lists, collect equipment datasheets and manuals, and collect manufacturer warranty information.
  • Support financial close out in Q360, set up 1-year workmanship warranty contracts, set up and maintain service calls and handle warranty RMAs.
  • Perform ad hoc project tasks as needed.

Requirements

  • 3-5 years of experience in project coordination or related roles.
  • Advanced MS Excel and Google Sheet Skills (advanced formulas, pivot tables).
  • Experience working with Word, SharePoint and Smartsheet.
  • Strong organizational and multitasking abilities.
  • Willing to travel and work on-site as necessary (less than 5%).
  • Work West Coast hours (role will work West Coast hours).
  • Remote within the US (California-based candidates preferred).
  • Preferred: Experience with Q360.
  • Preferred: Experience in AV systems integration, construction, or accounting.
