💰 ₱45,000 - ₱55,000 per month
About the role
- Manage executive calendars, internal team schedules, and client meetings
- Coordinate service calls and prepare meeting agendas and notes
- Track recurring projects and milestones to align with IT deliverables
- Handle inbound calls, emails, and follow-ups with professionalism
- Send quotations, proposals, and service updates; ensure timely client responses
- Draft client correspondence, reports, and service summaries as directed
- Maintain and update documentation including service logs, project updates, and client records
- Prepare and manage templates for quotes, proposals, and contracts
- Organize digital files, ensuring easy access and compliance with internal standards
- Assist with project tracking for IT implementations, managed services, and client deliverables
- Compile weekly progress reports summarizing completed work, open items, and risks
- Support leadership in documenting internal SOPs for consistency and training
Requirements
- 5+ years of administrative or virtual assistant experience, ideally in IT or professional services
- Proficiency in Microsoft 365 (Microsoft Suite: Outlook, Excel, Word, Teams)
- Proficiency in Microsoft Project
- Strong written and verbal communication skills in English
- Ability to coordinate across multiple teams and prioritize effectively
- Experience supporting executives or IT service delivery teams preferred
- Bachelor’s degree in Business Administration, IT Management, or related field preferred
- Ability to work Night Shift following U.S. time zone
- Willingness to attend onsite onboarding for less than a week before transitioning to remote
