About the role
- Serve as strategic advisor, project manager, and integrator to the President and Vice President
- Prioritize, evaluate, and negotiate agreements for speaking, publishing, events, partnerships and other activities
- Provide briefings, research, and analysis to prepare for external engagements with publishers, media, industry organizations, and leaders
- Track progress and KPIs including reach, impact, and strategic alignment for events and partnerships
- Manage planning and execution of external engagements including industry keynotes, media appearances, and retreats
- Coordinate with publishers, media partners, and program providers to maximize reach and impact of books, curricula, and digital offerings
- Lead project kickoff meetings, monthly planning meetings, project check-ins, and retrospectives with stakeholders
- Manage complex event logistics including contract negotiation, content preparation, cross-departmental coordination for contracts, conflicts of interest, program staffing, profitability and marketing
- Partner with CEO and leadership to ensure governance responsibilities are met and integrated with IFSI’s programs, certifications, and partnerships
- Build and refine processes, workflows, and documentation to support executive visibility and institutional effectiveness
- Collaborate with Finance, Marketing, Events, Talent, and Legal to ensure seamless execution of initiatives
- Organize and prepare projects and events (run-of-show, tech requirements, documents, staff briefings)
- Oversee communications assets for the President and Vice President including content planning, media archives, press kits and digital presence
- Support reputation management and brand positioning at senior levels of mental health and business leadership
- Lead and grow a team responsible for executive coordination, operational execution, and strategic alignment
- Serve as primary point of contact for IFSI Staff, International Partners, Trainer Community, and broader IFS community
- Travel up to 25% annually as needed
Requirements
- 7+ years of senior-level experience in business operations, partnerships, event leadership
- Experience supporting a thought leader, public figure, or senior executive (preferred)
- Exceptional organizational and communication skills
- Ability to operate with discretion, diplomacy, and sound judgment
- Deep interest in, or familiarity with, Internal Family Systems (IFS) or mental health/psychology (strongly preferred)
- Bachelor’s degree
- Highly organized, strong communicator, community builder and DEI advocate
- Ability to balance long-term planning and competing priorities while achieving short-term goals
- Ability to build and guide a high-performing team, fostering collaboration and equity-driven leadership
- Ability to present effective and engaged informational and development content
- Demonstrated experience in organizational development
- Ability to travel up to 25% annually, domestically and internationally
