About the role
- Coordinate schedules, meetings, and documentation between internal teams, architects, general contractors, and design vendors
- Track project timelines and deliverables, ensuring all parties are aligned on deadlines
- Maintain and update internal project trackers and logs (e.g., FF&E, procurement schedules, install calendars)
- Assist with FF&E procurement (furniture, lighting, materials, finishes, signage, etc.)
- Collect vendor quotes, manage purchase orders, and follow up on shipments
- Help maintain procurement documentation and organize digital asset libraries
- Support the team on facilities-related requests, including submitting and tracking tickets for general maintenance needs at existing locations
- Liaise with internal operations staff and outside vendors to resolve minor issues efficiently
- Serve as a point of contact for interior design documentation, finish boards, and vendor samples
- Prepare internal reports or status updates as requested by the VP of Interior Design + Art
Requirements
- 3–5 years of full-time professional experience (project management, operations, or design-related fields preferred)
- Highly organized and detail-oriented
- Comfortable with administrative tasks and supporting senior leadership
- Familiarity with design and architecture terminology or willingness to learn
- Strong communication skills and a proactive mindset
- Ability to manage multiple tasks simultaneously in a deadline-driven environment
- Proficiency in G-Suite, Microsoft Excel, and basic project management tools (e.g., Asana or similar)
- Nice to have: Experience with furniture procurement or vendor coordination
- Nice to have: Familiarity with Adobe Creative Suite or SketchUp
