Customer Support

• Customer Service by e-mail, phone or social media for solving any incidents generated
• Managing incoming calls and chats and customer service inquiries
• Provide accurate, valid and complete information by using the right methods/tools
• Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution. Keep records of customer interactions, process customer accounts, and file documents
• Follow communication procedures, guidelines, and policies
• Take the extra mile to engage customers
• As the resolutions of incidents are not constant, parallel work for the Department of Operations will be performed.

Events

• Support Producers and Project Managers with day-to-day needs
• Maintain visibility across tasks, deadlines, and deliverables
• Help ensure internal tools (Jira, Slack, Airtable) are updated and organized
• Perform back office updates and ensure information is accurate and consistent
• Invoicing & Finance Support
• Proactively help with venue research and initial outreach
• Assist with vendor invoice processing and tracking
• Support budget tracking and cost allocation
• Coordinate with Finance to ensure accurate and timely documentation
• Prepare and manage contracts

Events Administrative & Operations Assistant – DACH

Operations

• You’ll play a key role in supporting our internal teams, ensuring that processes run smoothly and details are always on point. You’ll manage a variety of administrative and operational tasks:
• Keep internal tools (Jira, Slack, Airtable) updated and organized
• Coordinate with Producers and Project Managers on day-to-day needs
• Assist in maintaining visibility across tasks, deadlines and project progress
• Assist with event setup and launch: creating and validating experiences in internal tools
• Perform back office updates and ensure information is accurate and consistent
• Support invoicing processes and coordinate with the Finance team
• Proactively help with venue research and initial outreach
• Contribute to budget tracking and cost allocation
• Prepare and manage contracts
