Assist in the proactive handling of cases as directed by the Partners and Team, including liaising with clients, sending invoices, chasing debt, drafting documents, and processing received documents
Create documents using case management systems to generate chargeable correspondence
Assist in providing client-related management information, including collation, administration, and reporting
Process correspondence and documents for the respective Partners and Team, liaising with other PAs, Administration Assistants, and Paralegals
Coordinate schedules, arrange meetings and manage travel requests
Assist with the monthly invoicing process, including raising invoices when requested
Keep files and filing up to date (both hard and soft copies)
Deal with correspondence efficiently and handle client enquiries in the absence of the Partners and Team
Follow all Firm’s policies and procedures and ensure confidentiality is maintained at all times
Requirements
Previous experience in a legal secretarial or administrative role
A team player with a proactive approach and a willingness to learn
Ability to work to set deadlines and service levels
Confident and professional communication skills, both written and verbal
Maintain a high level of attention to detail and accuracy
Experience using a case management system, with a readiness to undergo further training
Intermediate knowledge of Microsoft Office applications particularly Word, Excel, PowerPoint and Outlook
A motivated, self-starter with the ability to work on own initiative and ability to manage and prioritise own workload
