Own client onboarding from day one: review attorney consultation notes and signed representation agreement, identify case type and parties, and create customized document checklists.
Set clients up in the immigration practice management system; configure questionnaires, language settings, reminders, and send initial onboarding email with steps and timelines.
Host Zoom onboarding meetings approximately two days after initial email; answer questions, align expectations, and establish weekly follow-up cadence.
Coordinate document and data collection; review uploads for completeness and accuracy and request missing items.
Draft client-ready cover letters and assemble preliminary packets, then route for attorney review; support online filings through USCIS and Department of State portals when directed.
Maintain proactive status updates and prepare files for interview readiness.
Field inbound calls and ad-hoc questions; escalate issues requiring attorney input.
Collaborate closely with attorney and case team; deliver concise updates, spot risks early, and uphold data integrity across systems.
Model the firm’s service standard: blend technical accuracy with warmth to strengthen long-term client relationships.
Requirements
Bilingual fluency in English and Spanish (non negotiable) with clear, empathetic written and verbal communication.
Client-facing experience in customer service, patient coordination, or legal support roles; immigration experience is a plus.
Detail focus and accuracy; comfortable working with forms, checklists, and document standards.
Ownership and resourcefulness; ability to move work forward independently in a remote setting.
Tech readiness: experience with practice management software (such as Clio and Docketwise), online filing portals, document management tools (OneDrive, Microsoft products), and phone systems such as RingCentral.
Comfortable hosting Zoom onboarding meetings and scheduling weekly follow ups.

Must be available to work 9 AM to 6 PM Eastern, Monday to Friday.
