About the role

  • Manage the full AP cycle, including invoice processing, approvals, vendor management, and disbursements.
  • Ensure compliance with company policies, contractual requirements, and internal controls.
  • Oversee vendor onboarding, including collection of W-9s, COIs, and compliance documentation.
  • Review and approve weekly payment runs; coordinate with leadership for timely disbursements.
  • Monitor AP aging reports and resolve outstanding issues with vendors and internal stakeholders.
  • Preparation and filing of 1099 Tax Forms.
  • Manage customer invoicing process, including progress billings, retention tracking, and AR collections.
  • Ensure accuracy of cash applications and reconcile AR subledger to the general ledger.
  • Oversee lien waiver processing, contract compliance, and communication with customers.
  • Monitor AR aging reports and partner with project managers to resolve past-due accounts.
  • Implement and enforce policies to ensure accurate and timely revenue recognition.
  • Lead and mentor AP and AR staff, providing training, coaching, and performance feedback.
  • Coordinate workload across AP and AR to ensure deadlines are consistently met.
  • Foster collaboration with other accounting areas (Payroll, Fixed Assets, GL, MEC) and non-accounting teams.
  • Develop, document, and enforce standardized AP/AR procedures.
  • Identify and implement automation opportunities to improve efficiency and reduce manual errors.
  • Support month-end close by ensuring AP and AR are complete, accurate, and reconciled.
  • Assist with audits (internal and external) by preparing schedules and ensuring compliance with GAAP.
  • Monitor internal controls and segregation of duties to mitigate risk.

Requirements

  • Bachelor’s degree in Accounting, Finance, or related field (CPA or CMA preferred but not required).
  • 5+ years of progressive accounting experience, with at least 2 years in a supervisory or management role.
  • Strong knowledge of AP and AR processes, controls, and compliance requirements.
  • Experience with construction accounting systems (e.g., Foundation Software, Procore, etc.) preferred.
  • Proficiency in Excel and ERP systems; experience with automation tools a plus.
  • Excellent communication, organizational, and leadership skills.
  • Ability to thrive in a fast-paced, detail-oriented environment with multiple priorities.
