About the role
- Handle scheduling and travel arrangements for court appearances, depositions, mediations, client meetings and conference calls
- Sort, read and annotate incoming mail and documents; answer phones and direct callers
- Type and compose general correspondence, memos, legal documents, faxes and reports; ensure accuracy of final copy and dispatch documentation timely
- Prepare draft documents (briefs, complaints, motions, subpoenas, summonses) using firm templates; prepare motion binders and working binders
- Coordinate multi-document filings in Federal, Circuit and State courts, including e-filings
- Establish and maintain filing and records in hard copy and electronic formats
- Enter lawyers' time and prepare client billing; send time to accounting by month-end deadlines
- Oversee and conduct document reviews; track and report on review progress and results
- Perform analytical tasks (prepare witness interview memoranda, review and summarize documents and transcripts, create substantive coding tools)
- Perform and oversee cite checking and proofreading of briefs and other legal documents
- Assist with trial preparation (create trial notebooks, organize exhibits, coordinate witness schedules, maintain trial calendars, communicate with opposing counsel and courtroom staff)
- Assist with printing, scanning, organizing exhibit binders, preparing UPS labels and certified letters
- Perform additional duties and responsibilities as assigned
Requirements
- Bachelor’s Degree or equivalent experience preferred
- Minimum 10 years of experience in a law firm as a Litigation legal secretary/assistant
- Computer proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
- Experience with document management systems and e-filing (expertise in e-filing)
- Exceptional computer skills with the ability to learn new software applications quickly
- Proficiency with rules for court document filings
- Comprehension of a variety of legal court documents (complaints, answers, rulings, judgments, affidavits, motions, appeals, subpoenas, court dockets, etc.)
- Strong attention to detail, organizational skills and ability to manage time effectively
- Excellent interpersonal and communication skills; ability to collaborate well in a team
- Ability to work under pressure to meet strict deadlines
