About the role

  • Partner closely with founders and leadership teams to provide executive support and drive operations
  • Manage calendars, inboxes, travel, and daily workflows with precision
  • Anticipate leadership needs, prepare meeting agendas, capture action items, and drive follow-ups
  • Build and maintain project plans, dashboards, and execution trackers
  • Coordinate cross-functional teams to ensure deadlines are met
  • Document SOPs and improve internal processes for efficiency
  • Manage workflows in tools like Asana, Notion, or Monday.com
  • Oversee documentation, compliance tasks, and data organization
  • Support financial and administrative processes as needed (invoicing, reporting, vendor coordination)

Requirements

  • 3+ years of experience as an Executive Assistant, Chief of Staff, or Operations Coordinator
  • Strong project management background with experience using tools like Asana, Trello, or Notion
  • Exceptional organizational and time management skills
  • Experience supporting startup founders or leadership teams
  • Excellent written and verbal communication in English
  • Ability to work independently and anticipate needs without constant direction
  • Familiarity with financial tools (QuickBooks, Xero, or similar) (Nice-to-Have)
  • Exposure to healthcare, tech, or professional services industries (Nice-to-Have)
  • Background in operations or business administration (Nice-to-Have)
