About the role
- Partner closely with founders and leadership teams to provide executive support and drive operations
- Manage calendars, inboxes, travel, and daily workflows with precision
- Anticipate leadership needs, prepare meeting agendas, capture action items, and drive follow-ups
- Build and maintain project plans, dashboards, and execution trackers
- Coordinate cross-functional teams to ensure deadlines are met
- Document SOPs and improve internal processes for efficiency
- Manage workflows in tools like Asana, Notion, or Monday.com
- Oversee documentation, compliance tasks, and data organization
- Support financial and administrative processes as needed (invoicing, reporting, vendor coordination)
Requirements
- 3+ years of experience as an Executive Assistant, Chief of Staff, or Operations Coordinator
- Strong project management background with experience using tools like Asana, Trello, or Notion
- Exceptional organizational and time management skills
- Experience supporting startup founders or leadership teams
- Excellent written and verbal communication in English
- Ability to work independently and anticipate needs without constant direction
- Familiarity with financial tools (QuickBooks, Xero, or similar) (Nice-to-Have)
- Exposure to healthcare, tech, or professional services industries (Nice-to-Have)
- Background in operations or business administration (Nice-to-Have)
