Provide technical and administrative support to field and operations staff
Support assignment, set-up, communication, scheduling, coordination, preparation, and completion of each assigned project task; report findings to clients and/or management
Conduct document research of all client supplied materials (CSM)
Submit and track check requests for municipal data/information critical to zoning work and site-investigation reports (SIR)
Track and procure pending data/information from municipalities to complete zoning and SIR reports
Provide flexible capacity to RFP Team for processing/obtaining FLEX IDs when onboarding new vendors
Write technical zoning reports and SIRs using information gathered by municipality researcher(s)
Pro-actively communicate information needed for report completion and expected delays to key stakeholders
Conduct report revisions as more municipal information is provided post-delivery
Provide zoning-related information verbally and/or electronically directly to the Client
Lead point on client questions and requests related to zoning reports post-delivery and delegate follow-up instruction as needed
Identify and communicate workflow efficiencies; assist in identifying opportunities to improve efficiency and technological solutions
Coordinate and communicate schedules with vendors, clients, and internal/external teams
Develop reports defining project progress, problems, and solutions to present to stakeholders
Track data through web-based project management tools; receive and disperse Client Supplied Material (CSM)
Contact municipality departments for project information; perform special projects as assigned
Protect operations by keeping company information confidential; follow documented policies, SOPs, and Work Instructions
Deliver outstanding customer service through timely response and proactive solutions
Maintain safe and clean work area; may be required to work overtime with prior authorization
Requirements
High school diploma or General Education Diploma (GED) required; some college preferred
Minimum of two years of administrative type experience
Ability to read, analyze, and interpret project/technical documents, technical procedures, or governmental regulations
Ability to write reports, business correspondence, and procedure manuals
Ability to effectively present information and respond to questions from clients, peers, and technical field staff
Ability to tailor presented information or query response to receiving party
Ability to define problems, collect data, establish facts, and draw valid conclusions
Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables
Proficient operating a computer; knowledge of word processing software, spreadsheet software, and project management software
Time management, active listening, critical thinking, problem solving, oral and written communication skills
Ability to motivate, develop, and direct people; ability to work independently and in a team environment
Ability to work in a constant state of alertness and safe manner
Ability to successfully work from remote location
Must have a cell phone and supply your own internet service
May be required to work overtime with prior authorization from supervisor
Must be able to meet the physical demands of the job (occasionally lift/move up to 10 pounds, etc.)
