About the role

  • Support the MHLH Sr Program Manager and Regional Manager for BGS Canada and Latin America; work out of the Ottawa office.
  • Coordinate and process travel arrangements and logistics; generate expense reports and assist in reconciling corporate credit card charges.
  • Collect and compile travel data to provide visibility and status updates for traveler review and approval.
  • Create, edit, and maintain electronic and written communications; manage incoming and outgoing correspondence.
  • Coordinate schedules, prioritize appointments, and plan logistics for meetings and events; prepare meeting agendas and minutes.
  • Aid Program Manager with action item tracking and assist in creating presentation content using MS PowerPoint.
  • Order and maintain supplies of branded team merchandise for new and existing team members.
  • Perform system administration across multiple program-specific applications including access, storage, and content management.
  • Support delegated business functions including Enterprise Services, Site Services, Finance & Business, Security & EHS as required.
  • Support HR processes for local employees including on-boarding, leave services, and employment termination; provide routine guidance to personnel.
  • Support office and program procurement for travel, events, team activities, merchandise, and office items.

Requirements

  • Proven experience in office administration, business support, or related roles.
  • Excellent communication skills, both written and verbal.
  • Ability to manage confidential information with discretion.
  • Experience with travel coordination, expense reporting, and corporate credit card reconciliation.
  • Familiarity with HR processes and employee support.
  • Knowledge of facility management and compliance requirements (preferred).
  • Proficiency in Microsoft Office Suite, especially MS PowerPoint.
  • Must be legally able to work in Canada.
  • Ability to travel within Canada and the USA as required.
  • Must consent to Canadian Government Controlled Goods Program (CGP) assessment.
  • Must be eligible for Secret Level II security clearance; ability to obtain/maintain Secret Level II.
  • Individuals must not pose a risk for safeguarding of controlled goods.
  • Preferred: Active Secret Level II security clearance.
  • Preferred: General Aviation or Aerospace interest, Pilot License or flying experience.
  • Strong organizational and multitasking skills with attention to detail.
