Provide organizational support and maintain up-to-date awareness of CCO’s schedule, priorities and obligations in order to proactively assist, flag, and anticipate CCO and Company needs
Use independent problem solving and judgement to handle administrative challenges and decision making without the involvement of the CCO
Partner with other Company assistants in the effective preparation and organization of Company meetings and calls for senior executive staff
Support the CCO in meetings and calls by ensuring they receive all requisite materials and background in advance, taking notes as required, and following up on resulting deliverables or action items
Provide first-class hospitality for office visitors and guests of the CCO
General administrative duties including managing calendars, answering phones, travel arrangements, preparing expense reports, organizing executive meetings or calls for C-level executive staff
Provide support for large company meetings including presentation preparation and day-of coordination
Coordinate and organize project-related materials following company administrative policies
Act as liaison between the executives, internal and external contacts and follow up with departments to ensure requests are carried out
Intuitively handle various tasks and challenges as they arise
Other duties as assigned
Requirements
5+ years of entertainment experience (including agency or management experience) handling the demands of a high-volume desk
Must be able to commute to downtown LA 4-5 days a week
Experience in Pix and other media sharing software is a plus
Proficient in Microsoft Office Programs (Word, Excel, PowerPoint, Outlook)
Must possess an eye for detail and be an independent creative problem solver
Excellent organizational skills and ability to multitask
Strong written and verbal communication
Knowledge of film/TV development and production process is a plus
Must have a strong work ethic, sense of humor, and an eagerness to learn
