About the role
- Assist with daily operations, client communication, and lead management
- Book appointments, follow up with leads, track client inquiries, manage invoices, and monitor inventory levels
- Respond promptly and professionally to client emails, calls, and messages via the practice’s business line (RingRX)
- Schedule and manage client appointments, follow-ups, and consultations using Aesthetic Record EMR or other internal systems
- Track and document all incoming leads from calls, website inquiries, and social media channels
- Create, send, and manage invoices and payment records
- Maintain client and financial documentation in organized digital folders
- Learn and master the clinic’s workflow systems (Aesthetic Record EMR, RingRX)
Requirements
- 2+ years of administrative or client service experience (medical, aesthetic, or wellness industry preferred)
- Strong English communication skills (spoken and written) with Level A or B accent
- Experience using Aesthetic Record EMR or similar medspa booking platforms (preferred)
- Proficient in Google Workspace (Docs, Drive) and Microsoft Word
- Strong organizational and multitasking abilities; detail-oriented and proactive
- Comfortable handling sensitive client and business information confidentially
- Friendly, empathetic, and professional demeanor consistent with a premium client experience
