Executive Assistant

• Provide high-level support to our CEO and C-suite team
• Ensure seamless coordination of schedules, meetings, and communications
• Play a pivotal role in maintaining executive focus and organizational flow
• Manage sensitive information and facilitate key events and initiatives
• Keep the CEO apprised of time-sensitive and priority issues
• Complete a variety of special projects, including preparing presentations, reports, and agenda materials
• Respond to and help prioritize meeting invitations, phone calls, messages, and other information flowing to the executive(s)
• Prepare, reconcile, and submit expense reports for C-suite members
• Draft, review, and send communications on behalf of the CEO and other C-suite members

• Provide high-level communication support, project management, and organizational assistance within Development and Alumni Relations (DAR).
• Serve as primary contact to both internal and external constituents, prioritizing and handling requests on behalf of the assigned executive(s).
• Exercise discretion regarding the confidential nature of prospect and donor information and ongoing departmental initiatives.
• Prepare PowerPoint presentations, talking points, and other meeting deliverables.
• Schedule meetings and handle all logistics.
• Manage complex and shifting calendars for the assigned executive(s).

• Maintain executive’s calendar as well as the senior leaders / directors (as assigned) within the department and use judgement to maximize time; manage multiple calendars of appointment by coordinating and arranging meetings, preparing agendas, taking notes at meetings and distributing the notes to designated individuals.
• Email correspondence, draft letters and answer phones for executive staff.
• Run interference between executives and team members.
• Handle and coordinate team on-sites, off-sites, and all other Experity related events.
• Complete projects and special assignments as assigned.
• Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the executive.
• Complete a wide variety of administrative tasks for executive and their department, including but not limited to, arranging travel plans, itineraries and agendas; completing expense reports as well as department expense management; and running or compiling reports on a scheduled basis.
• Maintain superior public relations with business associates and clients.
• Assist with presentations to existing clients, prospective clients, and other industry related seminars.
• Ensure the effective delivery of outgoing mails, messenger deliveries, overnight deliveries and facsimiles in a well-timed manner.
• Track and follow up on deliverables of the executive and department senior leaders/directors.
• Maintain discretion and confidentiality in conversations with stakeholders.
• Oversee general administrative office functions to include ordering supplies, reporting building issues and working with facility vendors.
• Be intuitive to the needs of your executive/senior leaders, have a passion for going above and beyond, and leave a positive impression on internal and external customers.
• Work with other support staff to ensure coordination between departments/areas.
• Assemble files and documents; assure files are complete and orderly.
• Assists in scheduling of seminars, industry dinners or luncheons, and other functions as requested.
• Demonstrate continuous effort to improve operations, decrease turnaround time, streamline work processes, and work cooperatively with staff to provide quality service.

• Schedule/calendar necessary travel, meetings and create, transcribe, and distribute meeting agendas and minutes (as needed).

• The Employee Relations Senior Assistant provides support to the Employee Relations team by managing case intake and assignment, along with a variety of administrative and coordination responsibilities
• Using independent judgment and established tools and resources, the Senior Assistant supports daily ER team tasks
• The Senior Assistant manages multiple issues, at times for competing stakeholders, in a fast and ever-changing environment
• Follow established processes to prioritize, disposition, and assign cases within the case management system to Employee Relations Business Partners (ERBPs)
• Coach and advise employees and managers on the appropriate interpretation of Employee Relations policies and guidelines
• Ensure consistent interpretation and application of Employee Relations programs, policies, practices, and guidelines
• Track the status and resolution of employee and manager questions and issues
• Support the team with Employee Relations Direct Access matters, as needed
• Redirect matters to appropriate internal partners when required
• Manage intake, disposition, assignment, documentation, and closure of matters received through the Company’s hotline, including creating corresponding cases in ServiceNow and transferring case notes and closures as provided by ERBPs
• Assist with information gathering and documentation for legal complaints, charges and other matters, as needed
• Own and manage Tier 1 employee relations matters involving policy interpretation and other lower-complexity matters
• Create and maintain cases in the ER case management system for designated matters
• Utilize Workday, ServiceNow, and other tools to research case participants and accurately document required information
• Manage the Workday ER Self-Service inbox and created and assign corresponding ServiceNow cases
• Monitor ER team mailboxes and respond to inquiries as needed
• Maintain the ER team absence calendar
• Update content and materials within the ER team’s MS Teams channels
• Create and maintain documentation and process guides related to ERSP responsibilities
• Serve as the initial point of contact for employees on a variety of employee relations matters, as needed
• Prepares data-related reports for management, highlighting trends, inconsistencies, and areas for consideration
• Perform other duties as assigned.

Senior Employee Relations Assistant

• Support executives with daily responsibilities
