About the role

  • Creation of Installation, Operation and Maintenance Manuals for each project to be ready at time of shipment.
  • Creation of Manufacturer’s Record Books for each project to be ready 2 weeks after time of shipment.
  • Creation of Document Schedule Indexes per project requirements.
  • Assisting with the transmission of project related documentation.
  • Management of online file transfers. Sending and receiving documentation for project managers, procurement, or any other groups within client that may need to use FTP’s.
  • Assisting Project Managers with any projects that they need additional support for. Including attending meetings.
  • Administrative duties such as organizing meetings and ordering lunch.
  • Entering Field Service Time into SAP
  • To process (incoming and outgoing transmittals from suppliers) and distribute documentation per the project and client department requirements with attention to detail and accuracy to the project team throughout the life cycle of a project.
  • To provide weekly reports throughout the life cycle of a project on the status of each document per the project requirements.
  • To maintain the complete revision history of each document process throughout the project.
  • To adhere to the client Department standards on document management and retention policies.
  • Perform data entry with 99% accuracy (e.g. for every 1,000 documents processed 10 errors) to ensure projects meet delivery deadlines.
  • Process documents within 24 hours per the project distribution matrix within the defined budget hours and process per the provided work procedures.
  • To maintain accurate document index using the provided project specific template.
  • Maintain necessary records of documents to be included in data books/manuals.
  • Assemble data books/manual in electronic format.
  • Scan documents as needed.
  • Coordinate production of hard copies.
  • Coordinate the of hard copies and DVD/CD/USB to customer.
  • Other duties as assigned.

Requirements

  • High School Diploma / GED
  • Must have 5 years minimum of project support, administrative assistance, or similar experience.
  • Must be detail orientated and be able to recognize priority of deliverables for processing.
  • Strong technical skills needed in the following: Adobe Acrobat, Microsoft Office Suite (SharePoint, Word, etc.) with intermediate to medium skills in Excel
  • Must possess excellent communication and written skills
  • Must have effective planning and organizational skills with the ability to work with a high degree of accuracy.
  • Must have problem solving skills, to strives to understand contributing factors, works to resolve complex situations with appropriate management.
  • Must be dependable by meeting deadlines, working independently, accountable for work, maintains focus, punctual, and good attendance record management.
  • Must be able to maintain a professional attitude and be able to work interdependently or work as a team member when needed.
