Oversees key office administrative duties such as supply ordering, inventory, mail delivery, centralized phone and email contact.
Receives CRU visitors, vendors and investigators.
Assists in document collection from the Principal Investigator, Co- Investigator, Research staff, nurses for IRB submissions and protocol compliance.
Maintain CVs, Licenses, NCI Registrations, IRB required training certifications, Lab certification files for all WVUCI sites, including affiliate locations.
Assists in maintaining protocol regulatory binders.
Compiles study documents and patients charts for shipment to off-site storage or archiving.
Contacts Sponsors when protocols files are eligible for destruction.
Performs data input into the OnCore® database.
Manages scheduling for CRU meetings and external monitors, locating meeting rooms, catering and other required items as necessary, documenting on centralized unit Outlook calendars.
Produces meeting agendas and meeting minutes for staff and leadership meetings as necessary.
Prepares invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
Reads and analyzes incoming memos, submissions, and reports to determine their significance and plan their distribution.
Assists in budget and contract routing to the WVU Office of Sponsored Programs.
Coordinates the WVUCI Protocol Review and monitoring committee, including setting agendas, meeting minutes and updating status in OnCore.
Requirements
Bachelor’s degree or an equivalent combination of education and experience
A minimum of two (2) years of experience involving: Providing administrative support.
Any equivalent combination of related education and/or experience will be considered.
All qualifications must be met by the time of employment.
Knowledge, Skills and Abilities
Skilled at managing and maintaining multiple schedules along with own workload.
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
Strong verbal and written communication skills.
Knowledge of computer software, including Microsoft Outlook, Word, Excel and presentation applications.
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
Skilled at creating reports, memos, and other documents.
Maintains skills in, or knowledge of, professional principles, legal and/or reporting requirements affecting area of responsibility.
Ability to read and comprehend instructions, correspondence, and memos.
Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
